An exciting opportunity has arisen to join the Marketing & Communications team at Run 4 Wales (R4W), the not-for-profit social enterprise that delivers major sporting events including the Principality Cardiff Half Marathon, the Cardiff 10K and ABP Newport Wales Marathon.

R4W is committed to delivering world class events with a positive social agenda and through its Charitable Foundation awards funding to grassroots sport and other community projects – with a particular focus on inspiring young people and socially disadvantaged groups to get active.

It’s an exciting time to get involved, with growth in R4W’s portfolio of events and partnerships being fuelled by increased demand for events following the pandemic, the inclusion of the Cardiff Half in the new international SuperHalfs series and an innovative partnership with London Marathon Events.

It is a full-time position, working Monday-Friday during regular office hours, primarily based from the R4W office in Cardiff with opportunities to work from home or flexibly on occasions and with time in lieu offered for working across a number of event weekends (currently 7 per year).

Our preference for this appointment is on a full-time basis but the role is available on a part-time or job-share basis. This is because we want the best people for our roles and recognise that sometimes those people aren't available full-time. OVERALL PURPOSE OF THE ROLE

Working with the Head of Marketing and Communications, Marketing Manager and our Partnership Account Managers, the Communications Executive will support on the development and coordination of event and partner related media and communications activities.

They will work to support the wider team on campaigns across our series of events and diverse portfolio of sponsor and charity partners, with a particular focus on press, media and content creation.

KEY ROLES AND RESPONSIBILITIES

Press and Media

1. Assisting with the development of event and partner related communications campaigns

2. Drafting press releases or website stories for event or partner related announcements

3. Liaising with the media and distributing press releases

4. Responding to media enquiries and accreditation requests

5. Creating briefs for event day photography and videography teams, liaising with wider team to ensure all event, sponsor and charity requirements are included

6. Creating scripts for event day commentary teams

7. Helping to coordinate photo shoots and media events for event and partner related announcements, campaign activities and pre-event media launches

8. Assisting with the creation of event day media reports – general coverage and elite races

9. Using media monitoring software to report on campaign coverage and value

Media Content Creation

1. Assisting with the creation of clear, concise, impactful, and creative copy for internal and external campaigns across a range of communications channels.

2. Working with the Marketing Manager to plan and create media content that can be used in event and organisation related social media and digital marketing campaigns

3. Working with Partnership Managers to plan and create media content that can be used in sponsor/charity related social media and digital marketing campaigns

4. Assisting the team with content compliance – ensuring all sponsors/ charities are receiving their contracted benefits in relation to PR/media activity and inclusion on event websites

Participant Communications

1. Assisting with the planning of communications that make up the participant journey, from registration to race day

2. Keeping event websites up to date with the latest event information and dates

3. Regularly monitor registration data to identify human interest stories, contacting participants to arrange interviews or gather more information

4. Using registration data to assist with digital marketing campaigns, PR initiatives and day-to-day administration

Communications Planning

1. Assisting the wider team in the creation and administration of communication plans.

2. Helping with the upkeep of the communications calendar, helping to prepare content plans, gathering appropriate images and brainstorming.

3. Maintaining schedules for campaign initiatives, helping to keep the team on track using R4W’s project management software.

Event Day

1. Aiding in the management of press centre, press conferences and journalists on event days.

2. Conducting interviews with participants, sponsors and charities whilst assisting the team with the creation of media content to be used across various channels

3. Assisting with the delivery and coordination of event weekend branding plans

Welsh Language (if Welsh Speaker)

1. Providing translations for websites, official documents and participant communications

2. Providing translations for digital marketing content, social media and internal documents

3. Amending existing translations, updating pre-translated work with minor changes

SuperHalfs

1. Work with colleagues across SuperHalfs races in Lisbon, Prague, Copenhagen and Valencia on communication campaigns that promote the individual races and series as a whole

2. Lead on content creation for the series

3. Liaise with participants to generate human-interest stories

Other

1. Offering general support to the Head of Marketing and Communications, and the rest of the marketing and partnerships team in the delivery of campaigns and other activities

2. Identifying trends, key opportunities for innovation and new content platforms

3. Support with the delivery of other communications, campaigns, and events

4. Conducting market research in the sports and mass participation events industry, ensuring the organisation remains at the forefront of new trends and technologies

5. Assist with the collection and scheduling of partner and charity content across a range of digital marketing channels

6. Preparing documents, such as reports and presentations as requested by the Head of Marketing and Communications or senior colleagues

7. Providing administrative support to the marketing and communications department

8. Represent the communications function at internal working groups focusing on subjects such as children’s running, environmental sustainability and diversity and inclusion

PERSON SPECIFICATION

Essential

· Previous practical communications/marketing experience or qualifications

· Demonstrable knowledge of communications/marketing practices

· Excellent interpersonal and written communication skills

· Ability to organise and complete tasks on time, and project management skills

· Effective use of social media and other content platforms

· Ability to create basic mobile video content, suitable for use on social media

· Ability to think creatively and generate ideas

· Effective administration skills

· Ability to prioritise workload and work under pressure

· High accuracy and attention to detail

· Ability to adapt style, approach, and messaging for a range of audiences

· Excellent team working ability

Desirable

· Educated to A-level or undergraduate degree level

· Working knowledge of Microsoft Office software, including Excel, Outlook, Word

· Canva or Adobe design skills a UK driving license

· Video editing skills

· Knowledge or interest in the sport/mass participation events industry
