This position requires a motivated individual with excellent communication, attention to detail and analytical skills. The successful candidate will be responsible for the day-to-day management of club activities which includes using MS Payroll Manager, MS Office Suite and other computer based programmes. The ideal candidate is commercially savvy as well as detail-oriented, as the Secretary is often responsible for highly confidential information.
Responsibilities:
- Maintain the clubs day to day income records, provide information and documentation to the Treasurer as required for the management of the Business.
- Maintain the Clubs Membership records via Touch Office software, administer Petty Cash. Maintain Staff and Supplier records.
- The Club is a registered Friendly Society, it is the Secretary's responsibility to Ensure the club and committee operate within the FS Act and the Club Rules.
- Carry out required maintenance or appoint contractors as necessary, ensuring quality of workmanship and value for money.
- Manage the clubs suppliers including services and utilities.
- Maintain Club records both written and computer based
- Provide the Committee with reports on activities, advise and inform the Committee.
- Analyse financial information and recommend strategies for the club.
- Manage the Clubs financial information and related systems.
- Work closely with the Treasurer.
- Ensure sufficient funds and change is available for the business to operate.
- Maintain the Clubs Email, saving, printing and filing required documents for use in the Business and by the Treasurer.
- As laid down by Club rules the Secretary is not a Member of the Management Committee and has no Vote on the committee, but attends MC meetings to inform and advise the MC, take the minutes of the proceedings and to take instruction from the MC. The Secretary is required to implement the decisions of the MC

Application question(s):
- The candidate needs to be Financially & Commercially aware, have previous commercial experience, good to excellent spreadsheet knowledge, able to use formulas, create spreadsheets that auto calculate, use look up tables and provide accurate essential club data.
They need to have excellent all-round Computer skills, well versed in current applications, especially Microsoft Office suite. Be generally well organised and able to maintain good record keeping and apply sound Application practices.
Essentially be able to keep and maintain Confidentiality, be a good Communicator both written and orally, with a good confident phone manner.
The role requires a Confident and Outgoing person accustomed to dealing with Customers and Suppliers in a business-like and professional manner. With a natural ability to resolve issues quickly and harmoniously before they become problems.
