OVERALL PURPOSE OF JOB

To manage The Wildlife Trust Parc Slip Visitor Centre (PSVC) Café. To work with the
Wildlife Trust Visitor Centre Manager and Marketing Manager to develop and expand the Café and Visitor Centre operations.

MAIN RESPONSIBILITIES

Daily Operations

Responsible for managing a small team of part time Café Barista’s and Volunteers to maintain the high standard of catering and customer satisfaction.

~ Manage the Parc Slip Cafe rotas, menus and provide quality food within agreed budgets whilst conforming to all local authority food hygiene regulations.

~ Working to set menus as directed by the Head Chef at the WWC.

~ To be a hands on member of the team with responsibilities in the preparation of food and beverages, serving customers and daily house-keeping.

~ Deal with all the finances associated with the role of the Cafe. Including record keeping, banking, and other financial reporting to be discussed with the Head of Finance.

~ The Café Manager will be the main key-holder for the Wildlife Trusts Parc Slip Visitor Centre, with responsibility for ensuring opening up and closing down the cafe each day and access for ‘out of hours’ users.

~ Manage the Discovery Room and bookings. Organise and update the meetings and events diary according to the booking requirements.

~ Ensure that the provisions of Health and Safety legislation are fully understood and complied with, and that all other staff, volunteers, contractors, researchers and visitors are properly instructed in safety matters applicable to them.

~ Ensure that the building and equipment maintenance tasks are kept up to date and a high standard of housekeeping is kept.

~ Work with the Visitor Centre Manager and Marketing Manager to deliver the PSWTVC Marketing and Communication Plan.

~ To undertake other duties appropriate to the post that may be requested from time to time by the Line Management.

Events

~ Work with the Wildlife Trust’s Conservation Team to help support events within the Visitor Centre and on the Nature Reserve.

Membership

~ Actively encourage visitors to support the work of the Trust by becoming members.
~ Promote membership packages within the PSWTVC.

Information

~ Regularly check that literature and displays within PSWTVC are current and in clean condition.

~ All candidates must be eligible to work in the UK.

JOB SPECIFICATION

Management and Supervision

Overall recruitment and line management of PSWTVC team, plus seasonal staff, and
PSWTVC volunteers.

Accountability and Resources

Structuring own working time to prioritise and deliver tasks. Working with the Visitor Centre Manager to deliver and work within a set budget. Detailed financial reporting to the Head ofFinance to ensure up to date financial reports are recorded.

Job Impact

The work undertaken has a significant impact. An increase in visitor numbers and profile of the Wildlife Trust will have a direct impact on income through sales and memberships. The level in which the visitors are inspired and engaged with nature will have a significant impact on return visits and support for the organisation’s conservation aims and objectives.

Independence and Judgement

A high level of independence is required with decision making and ensuring the smooth running of PSWTVC. Liaison with the Visitor Centre Manager over some operational aspects will be necessary.

People and Contacts

There will be regular contact with visitors, booking delegates, tutors and speakers, potential customers and any other suppliers or contractors hired to run or participate in events.

There will be regular contact with catering suppliers.

There will be daily contact with the general public. The post holder may also be required to gather personal and financial information from individuals for payment processing. It is important for the post holder to promote a positive image of the Wildlife Trust with considerable opportunities to influence the public’s view.

There is some degree of contact with tourism bodies, community groups and associations to gather information and create marketing contacts.

Creativity and Innovation

There are many routine and regular tasks within the role; however there are several opportunities to be enterprising and imaginative and to create a memorable and rewarding visitor experience.

The post is often exposed to unexpected situations, where quick thinking and good judgement is required.

Working Conditions

The nature reserve is open all year. The Visitor Centre will be open 5 days a week
Wednesday to Sunday (open every Bank Holiday Monday). The Discovery Room may have evening bookings.

The post covers 35 hours per week. The hours required will include weekend and Bank Holiday working with occasional evening work required on an ad hoc basis to cover the needs of the business. Overtime may be required on occasion; this can be claimed back as time in lieu.

Some duties will occasionally require the post holder to work away from the work base. The use of a pool car is available on these occasions if the post holder possesses a valid driving licence.

PERSON SPECIFICATION

Experience

~ Experience of catering and managing a food establishment
~ Experience of managing a team, including supervision of staff, planning rotas and timesheet management
~ Team player
~ Excellent IT skills. Must be able to use Excel and Word.
~ Business knowledge, including financial reporting and working to and managing budgets
~ Experience of controlling cost including stock and waste management
~ Knowledge of social media for commercial use
~ Experience of organising and managing events

Competence, knowledge and skills

~ Commitment to quality standards and excellent customer service
~ Level 3 Food Hygiene Certificate and 1st Aid – if not currently held training will be provided
~ Relevant qualification or experience, in catering, hospitality or business management
~ Health and safety responsibilities
~ Knowledge of Food Hygiene including food allergens
~ Social media skills
~ Commercially astute
~ Excellent communication skills, both verbal and written, including report writing and email
~ An eye for creating inspiring and informative displays
~ Co-ordination and control of maintenance schedules
~ The ability to speak Welsh is desirable
~ A current driving licence is an essential requirement of the role.
