Job description
Responsible for supporting the G3 Systems Business Support team on a range of Administration tasks, with a focus on the following areas:
Duties:
- EEnsuring the Osprey Quay front office, meeting rooms and kitchen/rest areas are clean, presentable and reflect professionalism.
- Ensure the security signing in/out register is checked daily and filed.
- Preparation for meetings (meeting room preparations; order and serve buffet, tea/coffee preparation).
- Greet and register all visitors with a friendly manner. Ensure they are signed in correctly and that the appropriate NDA is completed. Ensure all badges are returned on departure.
- Operate the switchboard efficiently in a friendly helpful manner, ensuring that messages are forwarded to the recipient in a timely manner.
- Distribution of incoming post and coordinate the posting of any outgoing post.
- Create Requisitions and Purchase Orders within Costpoint for administration and travel related PO’s and support the Procurement team during periods of high demand.
- Assist Finance in resolving discrepancies linked to travel, hotel and stationary purchase orders.
- Coordinate the travel booking process for G3 Systems in line with the Travel Procedure and working with preferred travel partners.
- Scanning and Photocopying, Data Entry and Filing to support business requirements – assigned as appropriate by Line Manager, including ensuring equipment is operable (paper loaded in printers and photocopier), reporting any faults immediately to appropriate service providers.
- Assist business areas with administration support as and when required.
- Provide support to bids and proposals when required.

Qualifications Required:
- GCSE’s in English & Maths (Grade C / Level 4 minimal)
- Strong computer knowledge
Experience required:
- Knowledge of information management systems
- Knowledge of general administrative requirements to a high level
- A good general understanding of administration and administration systems
- Skills in all aspects of the Microsoft Office suite of applications, specifically Word and Excel
- Knowledge of business travel procedures and bookings (desirable)
- Previous experience of office-based administration (desirable)
- Strong work and standard/ethics and clam manner; in a fast paced, demanding, business environment
