We have a fantastic opportunity for a Billing Data Assistant to join our team working from home with the occasional office day based in Stockport. The salary on offer is from £30,000 on a permanent basis.

About the role:

This is a role within the Shared Services Business Delivery team which is primarily based in London and Stockport. The role is vital in delivering an efficient and robust billing experience for internal and external customers, supporting the NHSPS strategy, vision, and purpose. The purpose of the role is to deliver NHSPS customer end-to-end billing, aiding our Right First-Time objectives, enabling customers to pay on time and meet the financial expectation for our shareholders. The role holder will establish and maintain best practice procedures, whilst looking at opportunities to streamline and standardise processes.

The scope of the role will involve ensuring we make the best use of available applications to deliver timely, accurate invoices to NHSPS customers. The role holder will ensure all required data is in place before invoicing takes place, giving the business assurance that bills produced are accurate and to ensure timely processes are in place, fixing errors proactively and in line with billing risk and controls matrices (RACM) to support successful audit outcomes.

The role holder will be knowledgeable in the day-to-day finance area of billing and data support. They will pro-actively pursue continuous improvement activities to successfully identify, implement and embed these initiatives to improve accuracy and efficiency.

The role holder should be open to growth and being adaptable as a result of the expansion and transformation of the Shared Services team and be flexible to changing business needs.

Responsibilities include:


  • The role holder will be responsible for the accurate and timely output of all NHSPS billing within the agreed KPIs, this involves:
    • Working with relevant Finance colleagues to understand expected billing including key business developments and movements in our property portfolio that may impact expected billing, and;
    • Accurately raising billing in a timely manner, having completed reconciliations, and adhering to checks and controls before raising invoices and credit notes, to ensure proposed billing is in line with expectations, and;
    • Ensuring all billing and on stop adjustments have been approved through the relevant channels and that suitable, audit compliant, backing is available and documented before raising or issuing any invoices / credit notes, and;
    • Ensuring relevant business justification is provided before raising any invoices / credit notes, or adjusting billings on stop, and working with the relevant colleagues to understand the reasons for billing, and;
    • Assisting in tracking and reducing billing errors, and barriers to billing, by working with the relevant colleagues to actively drive resolutions with the responsible areas and completing relevant reporting to support this process, and;
    • Carrying out other suitable tasks that will support the integrity and accuracy of all NHSPS billing.
  • Work with relevant colleagues to manage the accuracy and timeliness of billing by reporting and escalating any issues / errors in the end-to-end billing process from inception to dispatch.
  • The role holder will assist in end-to-end billing reporting by producing reports and collaborating with relevant colleagues to understand and review key billing metrics and KPIs, and making these available to the relevant business functions, to assist in driving insightful commentary.
  • Responsible for adhering to audit standards and best practices, ensuring all relevant procedures are documented and maintained.
  • Continuously review and improve key process and controls with the aim of driving efficiencies and accuracy in billing. Ensure the benefits are being tracked on value tracker.
  • Drive a culture of continuous improvement aiming to improve performance and deliver value for money by working alongside the wider Continuous Improvement team and senior management within Shared Services to deliver on our goals and long-term strategy.
  • Develop and maintain good working knowledge of NHS PS management systems, including but not limited to Trade Shift, Microsoft NAV and Horizon. Stay abreast of new technologies or automation tools being used in Finance such as EDH, Power Bi and RPA.
  • Act as a representative on behalf of Shared Services to build good working relationships with our key stakeholders, collaborating on common goals and broader strategy.
  • Develop and grow the team through personal and professional development, training and upskilling; providing motivation, drive and a clear sense of purpose.
  • Support the Get, Grow, Keep people strategy across the whole of the shared services team, and support peers and other line managers in delivering the strategy.
  • Assist the Business Shared Services team with any ad hoc tasks as required.

What you bring to the role:

  • Good excel skills
  • Inputting accuracy
  • Experience and knowledge of Microsoft products including Power BI
  • Previous Horizon experience ideal but not esential
  • No finance experience needed as you'll be trained on the job
