An exciting opportunity has arisen for an administration assistants to join the Birmingham Wheelchairs Service team at West Midlands Rehabilitation Centre.
Working with both Clinical staff and the existing administration team, you will be involved with contributing to the provision of a comprehensive administration service; you will be a focused and motivated individual with an eye for detail and the ability to work well under pressure. High levels of organisation skills will be required with good IT skills and the ability to learn patient and equipment record systems.
As part of this role, you will be required to liaise with patients, carers and external agencies, the ability to remain calm and be empathetic when dealing with these queries some of which will be from patients who have a range of complex disabilities is essential.
Provide administrative support to the patient pathway process, ensuring information is recorded timely and accurately:
Registering new patients and recording referrals.
Adding and removing patients from waiting lists and Referral to Treatment (RTT) pathways.
Creating and amending patient clinic appointments, domiciliary visits and non-face to face activity including booking transport and interpreters where required.
Recording activity and appointment outcomes including: discharges, Did Not Attends (DNAs).
Raising and completing equipment orders.
Deal with telephone enquires/queries received into the service ensuring any messages are communicated timely and accurately.
Follow local procedures to produce electronic and written correspondence this may including emails and letters
On a day-to-day basis retrieve and file clinical records or clinical documents as needed.
As required, open and distribute post received into the Service, taking receipt (including sign for) of parcels and goods received.
Update identified Microsoft outlook calendars, calendars may be shared or belong to individuals.
