This post is essential as we work to maintain excellent attendance and reduce absence.Duties will include maintaining computerised attendance registers, monitoring student absence, liaising with teaching staff and parents and producing letters.At The Dean Academy we offer a broad and challenging curriculum to enable all students to gain a deep knowledge and understanding of the world around them. Supervise students signing in late and update SIMS with relevant details and sign out students that leave throughout the day.2. Produce an absence list as early each morning as possible.3. Locate students for teachers as requested and deal with all enquiries and print student timetables for students and Teaching Assistants as requested.4. Check electronic registers and follow up those that are not sent within the first 15 minutes of each lesson.5. Ensure tutor wallets are up-to-date and contain paper registers.6. Ensure the register cabinet is full.7. Make up new tutor wallets.8. Produce a typed list of all students’ reasons for absence that have been received and email to the Attendance & Welfare Officer.9. Ensure all filing is up-to-date.10. Update computer throughout the day with those registers received via paper or telephone calls.11. Keep up-to-date fire drill registers, distribute to Heads of Year and assist the Attendance &Welfare Officer during fire drills.12. Put messages on SIMS when requested to do so.13. Cover reception Tuesday, Thursday and Friday lunchtime (half hour).14. Cover office when Attendance & Welfare Officer is involved in attendance meetings, home visits, primary school visits.15. 100% attendance postcards (termly).16. Type various letters, these include:Broken weeks, holiday request, home visit, attendance meetings, consent to share, warning letters, late letters, reduced attendance, up-to-date mobile number request, improved attendance.17. Send out notification of absence slips to students when requested to do so.18. Ensure up-to-date tutor lists and class lists are replaced when a student leaves/joins the academy.19. M-Store registers (electronic files).20. Produce weekly late report on a weekly basis for Assistant Head Teacher keeping a record of attendees following up with slips and reminders on SIMS to students who have been late.Amend and keep record on an ongoing basis.21. Administration of GL Assessments – start at the end of the academic year and set up when ready to run.22. Vaccination days – organise, send out consent/information letters, collect back in and chase when necessary consent forms, text parents, collate information, produce schedule, liaise withNHS staff prior to the day and on the day.OTHER DUTIES The postholder may be required to undertake training and perform duties other than those given in the job description.
