Maternity Cover until July 2024

Key Purpose of role

· Under direction from General Manager and CEO, assume responsibility for the Society’s operations and service delivery.

· Assist in managing the operations and educational delivery of all aspects of the Vocational Centre.

· Assist in management, planning and organisation of the Tutoring staff, including adequate cover for absence.

· Support the completion of supervisions, staff briefings and line management of team to ensure the St Eds Vision and key objectives set by the CEO are adhered to.

· To assist in the responsibility in relation to the organisation of physical and material resources.

· To assume responsibility as main custodian of the Society’s image and profile together with promotion of the Society’s work and partnerships with others.

· To ensure all marketing and related materials are effectively produced and targeted in the right way.

· To ensure all social media and communication platforms are fully utilised.

· Undertake coordination and promotion of all events in which the Society may participate such as conferences, awards ceremony and careers days etc.

· To seek and apply for fundraising activities and applications on behalf of the Society.

· Assist in ensuring staff team are following all processes and policies, investigating and dealing with complaints and concerns.

Core responsibilities

· To ensure that clear lines of responsibilities across the tutor/instructor delivery team are maintained and work is allocated, monitored and directed appropriately within the centres to the correct senior member of staff for allocation.

· Coordinate monthly Health and Safety meetings, and allocate responsibilities to appropriately carry out day to day tasks including servicing of equipment, health and safety checks and maintenance.

· Ensure operational targets are met in accordance with timetable and budget.

· Ensure systematic induction and whole staff understanding of Policy, Procedure and Protocol.

· Ensure the acquisition of quality resources within the boundaries of the Centre budget.

· Assist in developing a vocational curriculum and framework that will meet the needs of the students and prepare them for sustainable achievements post placement.

· Organise and participate in the selection and recruitment of staff required for operations within the centre, in line with capacity and Workforce Development Plan.

· Coordinate Safer Recruitment of new staff, to include DBS, references, induction, offer letters and probation reviews.

· Assist in analysing staff performance and concerns including Observations, Supervisions and Disciplinaries.

· Support staff with wellbeing and development of Workplace Wellbeing development plan.

· To review and coordinate staff training and CPD within the society, including mandatory and additional training, updating Training Needs Analysis.

· Review and update policies when required, and at least annually.

· Directly line manage the Administration team, and indirectly assist in line managing other teams.

· Assist in monitoring, reviewing and reporting on quality within the centre, including SAR and QIP.

· Internal Quality Assurance – sampling plan, observation of assessment, risk.

· External Quality Assurance Reviews – Awarding Bodies C&G, VTCT, IMI.

· Devise and maintain a professional marketing and promotional strategy.

· Be responsible for keeping all social media accounts up to date with current news and events.

· Oversee and update the Society’s Website and information to keep it relevant.

· Oversee preparation and organisation of Fundraising applications.

· Audit and report on Fundraising applications.

· Create and manage plans for various marketing and event activities.

· Coordinate events and meetings by identifying and organising requirements; establishing contacts; developing schedules and assignments; managing mailing lists to ensure event success.

· Liaison with marketing professionals in partner organisations.

· Assist in creating and updating communications posted throughout working locations, both on social media and externally (prospectus, leaflets etc).

· Attend internal and external events, network, take photos and provide social media updates.

· Promote equality, diversity and inclusion throughout the Society.

· Oversee the collection and analysis of feedback from key stakeholders, reporting and making improvements.

· Assist in contract and partnership management including STUK, schools, outreach, charitable trusts and other funders.

· Support with Safeguarding of students and staff, as a Designated Safeguarding Person for the centre.

· Any other duties as may be reasonably requested by General Manager and CEO/Trustees that you are suitably trained for and considered capable of carrying out.

Other responsibilities

· To assist in ensuring the health, safety and well-being of students, staff and visitors to the centre in accordance with St Eds operating policies.

· To assist in ensuring that all staff and students are aware of and comply with St Eds safeguarding requirements and comply with St Eds safeguarding policies and practices laid down.

· To contribute to the development of community projects to support student learning.

· To undertake Continual Professional Development (CPD) some of which you may be required to undertake in your own time, ensuring that all vocational knowledge is current and up to date.

· Ensure that professional memberships are current and vocational specialist professional body memberships are maintained.

· To support all students in achieving their potential by taking a pro-active, enthusiastic and flexible approach in accordance with St Eds ethos and operating procedures, policies and corporate strategy.

Other duties

In keeping with the spirit and ethos of the organisation instilled by the Board and CEO, the post-holder may, from time to time be required to perform other duties than those outlined in the job description. The particular duties and responsibilities attached to this post may vary from time to time without changing the general character of the duties or level of responsibility entailed. The post-holder may, at times, be required to work outside of normal office hours or at weekends by arrangement. Such variations would not in themselves justify the re-evaluation of the post.
