We are inviting applications for the position of Assistant General Manager, based at our busy production office in the West End. The ideal candidate will have experience as an Assistant General Manager in a similar environment, have a passion for theatre, a “can-do” attitude, and a good level experience of working in a theatre company. The ability to work in a team, across more than one production at any one time, and the ability to be self-motivated and remain calm under pressure are crucial. You will need to be highly numerate, highly competent in Excel and Word, and able to play a key, senior role in one of the busiest production companies in the West End. Some evening work and weekend work will be required.
The Assistant General Manager role is essential for supporting the smooth-running of one or more Disney UK musicals – and international tours. The productions typically employ circa 150 people both on stage and backstage and will be seen by over 1.5 million people per year in the UK and Ireland.
Reporting to the General Manager, the role provides support for every aspect of getting a show on stage – people, logistics, budgets and is also responsible for the efficient running of a show, including the welfare of performers, cost management and maintaining the production to a very high standard.
This role will require you to be onsite a minimum of 4 days a week.
The Opportunity & Responsibilities:
Auditions/Casting/Offers
Casting negotiations, deal memos and contracts (ensemble, swings, some principals)
Day to day contact for performers’ agents and performers as required
In collaboration with Senior Management team, discussion with Resident Creatives regarding cast renewals
Children Performers
Cast offers and contracts for all children
London/regional performance licenses – in conjunction with Children’s Administrator arrange applications to Local Education Authorities
Appropriate hiring of Children’s Administrator and Chaperones including management of all appropriate licences, DBS checks etc.
In conjunction with Children’s Administrator, creation of children’s performance schedules – including distribution to parents/creatives/tech teams
Immigration
Key contact for all international cast for the duration of their time in the production
Ensure all paperwork is prepared and recorded as per the Right to Work standards
Annual renewals of each individual visa for the shows (approx. 50/60 per 12 months)
Once an individual hits the 5-year mark, assist and advise with their ‘Indefinite Leave to Remain’ in the UK applications
Contracts
Drafting of new contracts to be issued (i.e., Musical Director, Casting Director, Chaperones, Freelance agreements)
Approval of ensemble contracts (prepared by Production Assistants)
Working with legal on group contracts for housing/accommodation
Management of contract tracker
Finance, forecasting and payroll
Expenditure forecasting working closely with finance, technical and senior management
Capital expenditure forecasting in association with finance
Preparing financial scenarios based on international casting
Annual Operating Plan and budget forecasts for production operating budgets
Personnel
Being the first level escalation point for Head of Departments and Company Managers for Employee Relations/conflict issues, working in partnership with HR (Human Resources) to bring resolution in less complex cases
Developing confidence, knowledge, and skills to manage more complex ER/conflict issues
Marketing, Events and Additional Production Work
Being the primary contact for Marketing/Press to arrange any internal or external events involving the productions and reporting plans to General Manager
Compile and circulate schedules/work with the cast and crew/attend rehearsals as required/book travel and accommodation/work with the external teams/accompany teams to the event as required
Key contact for organising all aspects of London-based workshops of new titles
Diversity & Inclusion/Wellbeing
Champions for ensuring all relevant people on the production are included in training and workshops
Working closely with HR to develop new workshops as required on each production
Work closely with Wellbeing Facilitators to ensure all wellbeing concerns on the shows are addressed or escalated as appropriate
The Experience We Require from You:
Proven experience in the production department of live entertainment, preferably in the West End, from strategy to implementation
An understanding of the requirements of maintaining a first class, large-scale west end/touring production
Ability to exercise creative thinking and initiative
Attention to detail and ability to multitask across a diverse and changing workload
Ability to prioritise, problem solve and work to strict deadlines
Proven organisational and leadership abilities
Open-minded, flexible in thinking and adaptable to change
Proven ability to influence at all levels internally and externally
Collaborate across functions and finds common ground with various groups and individuals
