Assistant (full time)
Salary: £19.5k – £22k
Hours: Mon – Thurs 8.5 hours a day (includes a 30min lunch break)
Location: Newmarket, Suffolk
Fusion Conferences, a highly reputable, family run scientific conference organiser, are looking for an ‘Assistant’ to join their small and friendly team.
You will be responsible for supporting both Directors of the company with day-to-day tasks and conference related admin. This is an office based role and you’ll be assisting with both in-person and virtual meetings.
We are looking for someone who is humorous, sociable and outgoing, striving to learn and grow within a small team.
The Office
When you spend more time with your colleagues than your own family and friends we know how important it is to enjoy your place of work! The office is super relaxed. Our small team has a real family feel and amongst the workload, there is always a lot of fun and laughter throughout the day.
We are all food lovers and there is usually a treat of some sort thrown into the working week.. whether it be a takeaway lunch, cake run, office bake or the occasional dinner date after work at one of the nearby pubs or restaurants.
Team socials are a must! Top golf, segway, pizza night, escape room, crystal maze, Christmas market, takeaway night, punting etc. And not forgetting the annual advent games in December which causes some serious competition with daily challenges and puzzles to complete with a chance to win leaving early for Christmas.
The Role
- Assist with preparing new conference documentation
- Assist with keeping the Fusion website updated
- Assist with administration of speaker invitations and correspondence
- Respond to daily enquiries
- Assist with building in-house databases for marketing, sponsorship and media contacts
- Assist with creating, updating and scheduling regular marketing email campaigns
- Assist with creating and updating conference materials (marketing flyers, abstract booklets, welcome packs)
- Assist with conference rooming lists
- Frequently update social media accounts (LinkedIn & Twitter)
- Assist with occasional planning and execution of our virtual conferences (a new addition to Fusion Conferences following the pandemic)
- Venue research
- International travel (optional)
- Report to the Directors
Required Abilities & Skills
- Highly organised, proactive and self-motivated as you will be assisting with multiple conferences with numerous deadlines and targets
- Excellent interpersonal and communication skills
- Effective time management skills
- Detail orientated
- Ability to clearly prioritise and multitask when deadlines and workload becomes demanding
- Proactive approach to problems
- Strong organisational skills
- Confident to work independently but also supportive when working within a team
- Computer literate and an intermediate level of MS Office (Word, Excel, Power Point & Outlook)
- Efficient typing skills
- Valid passport and no criminal records which prohibit entry to any country (if travelling)
- Previous experience with Mailchimp, Photoshop or InDesign are advantageous but not necessary
