Job description
An exciting new vacancy has arisen in our Corporate Department in the Glasgow office for an Assistant Administrator who is keen to learn and looking to develop an administrative/PA career within Anderson Strathern.
You will provide administrative and PA support to the team (which includes supporting our busy Public Sector team), working closely with the other PAs within your department and in the wider PA Services Team.
Flexibility is key as there will be a requirement to support fee earners at all levels within your own department with a broad range of tasks and you may, on occasion, be asked to help other departments within the firm if needed.
The tasks you will carry out are included in, but not limited to, the list below.
You may be responsible for
- Assisting with billing
- Assisting with Dataroom management
- Typing and formatting documents using Word, Excel and Powerpoint
- File opening and onboarding clients
- Scanning, saving, and distributing incoming mail
- Photocopying, scanning, printing, binding, filing, and archiving
- Supporting the preparation of bulk documentation, files, and bundles
- Using PDF Docs to pull legal documents together, paginating papers, and reducing file sizes
- Assisting with ad-hoc departmental projects
- Diary management
- Providing ad-hoc cover for reception
- Assisting with setting up for events/large meetings
- Filing both electronic and paper documents
This role has great opportunities for growth within the role as well as excellent longer term career progression prospects. You will receive training to allow you to assist with legal secretarial duties (including diary management, dictation, formatting and amending documents, raising invoices, and completing Cashroom forms), which will allow you to progress your career towards becoming a Legal PA.
What you will need to succeed
- Experience not essential – however a “can do” attitude is!
- Good IT skills including Word, Outlook, PowerPoint and Excel
- Good communication skills with the ability to liaise and work well with partners, fee earners, business support staff and other PAs
- Excellent team-work
- An ability to demonstrate common sense and a methodical approach
- Good presentation skills with an eye for detail
- You will act professionally and be a representative for the firm
- Enthusiasm, commitment, flexibility and a positive attitude to learning new skills
- Ideally candidates should have National 5 (or equivalent/demonstrable ability) in English
- A genuine desire to develop a PA career within a legal office
