What are we looking for?
Do you want to make a difference by providing high quality clerical and admin support to the Information Advise and Support Service who support carers and children and young people with SEN and disabilities.
If so, then we want to hear from you! We need a highly motivated Ask Us Assistant Adviser who can provide basic information to service users via the phone. You will act as the first point of call for all telephone call and emails to the Ask Us helpline using a triage system to filter enquires as required. You will also be required to provide admin and clerical support to the team.
Duties and Responsibilities:
Be the first point of contact into the Ask Us Nottinghamshire helpline, gather relevant data to understand the nature of the concern, input client data into Insight i.e. contact details
- Manage the Ask Us Inbox, listening to voice messages and returning calls to customers, also respond to e-mails.
- Often create new client records.
- Populate customers onto Excel spreadsheet for tracking of referrals
- Send out consent and initial information requests via e-mail and chase return as this is needed prior to work commencing, input consent onto Insight
- Allocate out to advisers in line with time demands , using outlook to book appointments in the diaries of Adviser on the helpline.
- Input call content/ discussion onto Insight
- Obtain necessary paperwork from relevant parties when requested by Advisers i.e. ICDS/ SEN/ schools/colleges
- Encrypt paperwork to advisers where needed for meetings
- Support advisers by uploading documents onto database, such as mediation and tribunal paperwork, support plans and EHC Plans. Save paperwork file in files on database.
- Prepare print out bundles of key files as and when needed for key things like tribunals and mediations. These may need to be posted out to Advisers where necessary.
- Support advisers with sending meetings requests/ confirmation of attendance to schools and colleges.
- Support Ask Us Senior Advisers with reports, looking at things like where consent needs to be gained, tidying up Insight records, support with closing down inactive cases.
- Support Ask Us Adviser with monitoring Support Plans.
- General administrative duties that support the team such as photocopying, scanning, minute taking.
- Minute taking at team meetings. Sending out minutes.
- Weekly task to send out Surveys to customers who have received a helpline call or where there casework has ended and case closed. Record on database.
- Support with updating the content on the Ask Us website.
- Tidying up and maintaining the IASS T Drive.
- Compiling files with useful information on SEND and agencies within the T Drive. A sort of directory of information.
- Invite customers to steering group meetings, BAME group and co-production events via e-mail or phone.
