Your New Role
We have a fantastic opportunity for a Permanent Business Co-Ordinator to join our Rail Delivery team in Cardiff.
AIW Railway Project - AIW is the Infrastructure Manager for the assets across the Core Valley Lines network. The Core Valley Lines (CVL) programme of works forms a significant part of the South Wales Metro project covering a broad spectrum of rail type works, to both improve and renew existing assets.
Business Co-Ordinator plays an important part in the organisation and support for Senior Management schedules.
The standard hours of work are 35 per week.
You will be responsible for:
- Coordinate all business support duties in the department/contract to ensure delivery to deadlines
- Coordinate travel logistics including trains, flights and accommodation for Senior Managers as appropriate
- Maintain and update systems
- Proactively manipulate systems and run reports as required
- Coordinate internal and external meetings including room booking, arranging agendas, preparing papers, ordering catering
- Use the SAP finance system for invoice processing
- Undertake business support projects as assigned
- Assist in the delivery of client services as appropriate
- Proactive decision making within the confines of the responsibilities
- Diary support for Senior Managers as appropriate
- Handle confidential information with discretion
- To present a professional image to all staff within Amey as well as external contacts
- Act as the key liaison person for the department/contract
- Disseminate information to other team members to ensure delivery
- Operate independently or as part of a team
- May have some supervisory responsibility for allocating work for more junior business support staff
- May have some people manager responsibility
What makes this role unique is
This position provides a wide range of business support services, including diary support where required, to a team of senior managers. This role acts as a supervisor for junior roles and ensures effective coordination of Business Support within a contract or functional area.
We want to hear from you if you have:
- Demonstrable administrative skill set and experience
- Evidence of some project coordination
- Evidence of supervising a business support team – desirable
- Proven ability to manage systems and databases
- Good verbal and written communication
- Ability to give day-to-day direction to more junior staff members
- Able to develop and maintain good working relationships at all levels
- Excellent customer liaison skills
Ideally you will be qualified at GCSE Level with experience in relevant Business Support.
