Become knowledgeable of The Listening Centre services with the ability to clearly and concisely provide potential clients and customers with a brief overview of what The Listening Centre offers.
Monitor and update our CRM portal.
Weekly quality audit checks on digital platform of cases pending and on hold, monthly audit of live cases. Follow up with affiliates for outstanding documentation, manual case closures
Call new clients to clarify details and briefly describe the care pathway, ensuring they have a successful initial contact experience. Place clients with the most suitable affiliate, taking into account location and type of therapy offered.
Review electronic feedback forms received on the portal. Approve for sending to customer and affiliate. Email google rating requests to clients.
Follow up with affiliates for outstanding documents – e.g. case closures, EOT reports, client agreement forms and process or file as necessary.
Insurance Documents – contact affiliates and request copies of up to date insurance documents and relevant certificates and save to HR file.
Collaborate with affiliates, clients and customers to respond to requests, issues and questions in a timely and professional manner.
Ensure clinical paperwork is available and replenished regularly for private practice.
Assist Service Coordinator to make the best use of their time by dealing with secretarial and administrative tasks.
Devise and maintain office systems, including data management and filing.
Screen phone calls, enquiries and requests, and handle them appropriately.
Maintain strict confidentiality regarding service users, sessional notes, disclosures and all commercial data.
Interface with suppliers to order office supplies and process purchase orders.
Assist Service Coordinator with light Finance and Accounting work.
Be involved in decision-making processes.
Assist in sales and marketing initiatives with Chief Executive and Service Manager.
Other duties as assigned and effectively prioritise and complete all assigned tasks.
Adept Central (sister business)
Review Adept info@ inbox and respond accordingly – eg. printing, course enquiries, student requests etc.
Assist tutors in lesson prep as requested.
Manage waiting list, enrolment, invoicing, and other Adept tasks as requested.
Job Type: Part-time
Part-time hours: 16 per week
Salary: £18,500.00-£22,500.00 per year
