Administrator
St Francis Employability is based in Radford, Coventry, and works with local people to help to remove barriers that they face to employment, including offering volunteer placements, skills training and individual support. The resources/community manager is responsible for the health and safety, policies and procedures, safeguarding and other regulations involved in the delivery of the projects. The resources/community manager ensures that the working environment is fit for purpose and staff are adequately equipped to do their job.
The Job Description includes:
Main Duties and Responsibilities
- Maintain central database and ensure confidential information is kept in accordance with GDP guidelines
- Data entry, retrieval and database maintenance
- Filing and archiving
- Creating and managing documents, spreadsheets and presentations
- Compiling reports
- Maintain learner and client registers and relevant paperwork in accordance with project requirements
- Arrange meetings/appointments by scheduling appropriate meeting times, booking rooms, and planning refreshments
- Manage correspondence by answering emails and sorting mail
- Answer phone calls and transfer them as necessary
- Support tutors and other project staff in the printing and production of learning resources
- Support volunteers in learning new administrative skills
- Assist in planning and arranging events
- Draft, format, and print relevant documents
- Interact with senior management and carries out their requests
- Assist in purchase orders and invoicing
- Manage and monitor bus pass system/process for clients
- Photocopy and file appropriate documents as needed
The person appointed to this position will have the following skills and attributes:
Excellent IT skills
Excellent understanding of Microsoft packages
Excellent written and presentational skills
Empathy and ability to communicate with a wide range of people
Ability to work in a methodical and organised way
Ability to keep good records and extract data from records for reporting purposes

There will be a requirement that you attended specific training sessions as requested and annually undergo safeguarding training.
Job Type: Part-time
Part-time hours: 15 per week
Salary: £8,446.21 per year
