About the Trust
We’rea community and mental health trust, providing a wide range of services to people of all ages living in Berkshire. And to do this, we employ approximately 4,500 staff who operate from our many sites as well as out in people’s homes andin various community settings.
What you’ll be responsible for:
· Provide the point of contact for the Service, dealing with telephone, e-mail, postal and personal contact from colleagues, clients and staff members from external agencies and the development, implementation and maintenance of efficient and effective administrative systems, practices and procedures.
· Responsible for the effective and efficient day-to-day administrative, clerical and secretarial support for the Service; including liaising with GPs and practice staff, MHICS team members, colleagues from voluntary services, patients with MH needs/their careers, primary care and local authorities; contributing to the smooth running of the service
· Provide dedicated planning, coordination, and administrative support to MHICS Team members, as required, including diary management and management of referrals and appointments, and updating appropriate healthcare professionals as required.
· Plan and arrange meetings and events which may be internal of external to the service, ensuring all necessary arrangements are made, such as room bookings, refreshments, etc.
· Attend designated meetings where the information may be complex and sensitive, taking, and transcribing minutes. Distribute information prior to and after meetings in a timely way.
· Ensure all office systems are maintained to a high standard, both electronic and hard copy, across the service, developing systems to ensure that services run smoothly through having well planned and organised administrative systems and processes in place
You’ll learn the following whilst working at the trust:
· An in depth understanding of the roles and responsibilities involved in working within the NHS.
· Knowledge of the systems used, to effectively complete your role to the highest standard at all times.
· A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.
You’ll have the following skills/experience:
· System knowledge – RIO
· Minute taking Experience
· NVQ4 or equivalent qualification/experience
· Excellent IT skills
· Excellent organisational skills
· Excellent communication skills
· Excellent telephone manner
· Microsoft Office package knowledge e.g., Outlook, Word, Excel
