Job Title: Administrator – 37.5 hrs per week

Trust Location: Greater Manchester Mental Health NHS FT

About the Trust

The Trust is one of the largest specialist mental health providers in the country, providing inpatient and community-based mental health care for people living in Bolton, the city of Manchester, Salford, Trafford and Wigan, and a wide range of specialist mental health and addiction services across Greater Manchester, the northwest of England and beyond.

What you’ll be responsible for:

  • Type a variety of letters and reports using Word and several other IT packages. Work can be done from manuscript, copy, audio, or dictation. Complete work within allocated timescales and to a professional standard.
  • Receive and record all incoming mail and email transmissions. Prioritise the mail, ensuring all issues of an urgent nature are brought to the relevant manager’s attention. Where appropriate, produce draft responses or obtain additional information/responses from other managers for approval by relevant members of the team.
  • Maintain an effective bring forward system for chasing any outstanding queries, comments, and actions. Maintain a comprehensive filing system on behalf of senior managers.
  • Maintain a diary for the senior managers, arranging travel and accommodation when necessary.
  • Arrange, organise and service meetings, visits and appointments, preparing papers for meetings and minuting meetings as required, transcribing within agreed timescales.

You’ll learn the following whilst working at the trust:

  • An in depth understanding of the roles and responsibilities involved in working within the NHS.
  • Knowledge of the systems used, to effectively complete your role to the highest standard at all times.
  • A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.

You’ll have the following skills/experience:

  • Previous experience of supporting senior management
  • Experience with diary management, minute taking, arranging meetings.
  • Excellent organisational skills
  • Excellent communication skills
  • Excellent telephone manner
  • Microsoft Office package knowledge e.g., Outlook, Word, Excel
