Job description
Bournemouth International Airport are looking for an organised and self-motivated Administrator who will be responsible for providing administrative support to our small team in the Estates Office. The Administrator’s role will include working closely with the Estates Manager (EM) and the Estates Facilities Manager (EFM) by updating all office databases, invoicing of rents, service charges and utilities.
In order to be successful in this position you should be detail orientated, professional and have excellent written and verbal communication skills.
Principle Duties
- Facilitate / process accurate and timely invoicing of rents, service charges and utilities.
- Utilities – Coordinate utilities supplies and meter readings to ensure that customers receive the services requested and are invoiced accurately and promptly. Respond to customer queries in a diligent and professional manner.
- Estates Management System (currently Blue Box) – Upload property data onto the estate management system and other systems / records / spreadsheets. Ensure information is kept up to date and accurate at all times. Training on Blue Box will be provided.
- Procurement support – Support the EM/EFM and Finance team in setting up and deleting contractors from the procurement system and raising orders as required. Maintain a day journal of orders/expenditure so that the Team has an on-the-pulse budgetary understanding of the business.
- Filing/record systems – Organise the estates filing and record systems to ensure accurate and relevant information is available on demand.
- Service charge – Provide administration support to ensure full service charge recovery. Estimates and reconciliations to be completed within defined timescale and in accordance with best practice. As part of the Team, respond to customer service charge queries accurately and promptly
- Rates – Support the business rates mitigation programme. Liaise with the rating authority to ensure accurate rates bills for both Bournemouth Airport and our customers.
- Credit control – Support the EM and Finance team in following through credit control procedures.
- Insurance - manage insurance charging and liaise with Insurance Brokers updating tenant information.
- Customer service - Respond to customer queries and follow up actions promptly. Help provide a "one-stop property shop" service, ready to receive customers at all times during business hours. Ensure that moving in and moving out procedures are followed diligently with all internal and external parties notified. Assist the EM and EFM in building key customer relationships and holding regular customer forums.
- Marketing – Ensure that marketing material is available for all vacant units so that the Team can respond promptly to new enquiries. Maintain an enquiry log to track potential customers.
- Health, Safety and Environmental – Provide administrative support for H&S customer surveys, property inspections, and works. Respond to queries from all sources. Assist with the delivery of travel planning policy.
- Website and signage – Facilitate the display of customer details on the estate website and directional signage. Ensure that the Occupier’s Handbook (available on our website) is accurate and up to date.
- Support all functions of the Bournemouth Airport Estates team.
Skills Knowledge & Experience
- Good experience/awareness of financial/office systems and procedures.
- Strong IT skills and experience, particularly Word and Excel.
- Good skills in managing deadlines, timetables, multi-tasking and priorities.
- Good planning and organisation skills
