Important Notes

As we expect a large number of applications, we may be unable to respond on an individual basis. The recruitment process involves at least two interviews, together with an assessment. The candidate must be able to start latest by October 2023.

SquareWell has adopted a hybrid work model where team members are expected to be in respective offices at least three days a week.This role, however, may require the individual to work the full week in the office.

SquareWell does not sponsor visas, and therefore, candidates must have the right to work in the UK.

Position Overview

SquareWell is looking for an Administrative Officer that will ensure that the whole team is working towards SquareWell’s strategic objectives in the most efficient and effective manner. The role would be perfectly suited for an individual who has worked in an administrative role before, including working on projects related to data collection and project management.The role will be based in London, UK, and will report to and work closely with the Partners as well as interact weekly with other team members.

Responsibilities

Office-related

  • Maintaining SquareWell’s HR and Corporate policies.
  • Ensure office (London and Paris) needs are met (including purchasing office needs, coordinating service providers, etc.).
  • Support the Partners in administrative needs.

People-related

  • Monitoring and management of Human Resources (HR) platform.
  • Co-ordinating performance reviews.
  • Serve as an independent point of contact for the team on requests.
  • New starter/leaver processes (including IT set-up).
  • Maintaining the office calendar.
  • Co-ordinate social events and initiatives.

Project Management-related

  • Initiate and take notes on Team calls and share follow-up steps with relevant individuals.
  • Monitor the delivery of group-wide initiatives and ensure that the team is communicated deadlines.
  • Liaise with external technology providers to ensure SquareWell maximizes its use as well as its full integration into its workflow.
  • Keep track of subscription usage and identify training needs.

Data-related

  • Collect data as requested by the Team on various topics, ranging from contacts to company practices.
  • Support in maintaining internal platforms to ensure that there is consistency and reflects most up to date information.
  • Website maintenance - including responding to inbound enquiries.
  • Support sales teams with capturing required information.

Experience & Skills

  • 2+ years’ experience in Project Management, Office Administration, Data Collection, or HR
  • Strong Microsoft Office skills, especially Excel and PowerPoint.
  • Self-initiator. Ability to take ownership and work independently to deliver near final outputs that demonstrates strong attention to detail.
  • Excellent organizational, presentation and communication skills.
  • Ability to work under strict deadlines and multi-task to ensure timely delivery of client deliverables.Ability to work across cross-functional teams in different locations.
  • Proficient in English. French would be an advantage.
