Title: Administrative Assistant/Coordinator Clinical Placements (Part Time)

Organizational Relationship: Reports to Dean/ Administrative Assistant/Assistant Director of Academic Programs. Works closely with Program Directors/Faculty when needed.
Job Purpose: Perform administrative tasks integral to maintaining the efficient day-to-day functioning of the School of Nursing. Distribution of facilities' clinical requirements to students. Data entry on facilities' onboarding portals when required.
DUTIES/RESPONSIBILITIES:
Essential Functions:
Responsibilities must be performed with the utmost confidentiality
- Answer telephones, address student inquiries, inform potential students of program requirements.
- Ensure all copy needs of the department are met.
- Type, revise, proof Undergraduate and Graduate Course outlines/Syllabi/Evaluations for Nursing Professors. Ensure copies are sent to Academic Advisement for students with special accommodations.
- Maintain/update records and binders with course syllabi/outlines.
- Type, revise, proof Undergraduate and Graduate exams for Nursing Professors. Maintain electronic files of all exams given.
- Submit room requests and track for approval.
- Typing/revising DJ's, letters, memos.
- Make conference arrangements, booking rooms, ordering refreshments and room setup.
- Assist Administrative Assistant with Pinning publications and reception arrangements.
- Assist Administrative Assistant with adjunct contracts and appointment letters each semester. Prepare Casual Employee Form requests. Ensuring process is completed in a timely manner.
- Prepare personal expense forms for Faculty when requested.
- Preparing requisitions for the Finance & Business Office. Forward to appropriate offices for approval.
- Pick up and distribute mail twice daily.
- Maintain Undergraduate and Graduate Student files. Ensure electronic filing is done in a timely manner.
- Maintain Adjunct files. File physicals/CPR/resumes, in correct files.
- Order desk copies of books for Faculty and Adjuncts.
- Assist Adjunct faculty's concerns, ex: payroll, classrooms, security issues, etc.
- Request maintenance repairs for department.
- Act as point of contact between EG Healthcare and School of Nursing for any issues, lack of compliance to required student physicals. Escalate to lead faculty/program directors when necessary
- Distribute various facilities' clinical requirements to students and adjunct faculty via Google Forms.
- Monitor submissions for completeness and communicate any lack of compliance to faculty leads.
- Data entry of each clinical group section assigned to Northwell facilities on required portal.

QUALIFICATIONS
Work Experience: Extensive experience in higher education offices working with and supporting faculty and students in maintaining efficient and effective operations. Knowledge of nursing/medical terminology.
Desired Work Traits: Upbeat, positive demeanor is especially important. Have a strong work ethic, flexible.
Computer Skills: Extensive knowledge of Office Suite, Google Drive, Google Forms, web-based course management systems (i.e., Moodie) and troubleshooting office setups for more efficient day to day operations.
Communication/interpersonal Skills: High level of both oral and written communication skill is strongly desired, as is an ability to work well and constructively with a wide variety of personality types - students and professors.

In compliance with NYC’s Pay Transparency Act, the annual rate for this part time position is approximately $20,000 ($19.23/hr).
