Position Summary and Responsibilities
Position SummaryVassar's Facilities Operations (FO) Department seeks candidates for a part-time administrative assistant position. Facilities Operations is a customer oriented, fast-paced environment which provides service to the entire campus. The administrative assistant provides clerical and phone support, responds to customer requests/inquiries and assists in all aspects of the department's maintenance management information system.

This is a part-time, 20 hour per week position. Monday-Friday, four hours per day. This position is benefit eligible.

Responsibilities:
  • Act as a liaison to campus constituents and as necessary, research and take independent actions to resolve issues or advise manager of unresolved or ongoing issues.
  • Answer department phone line, route calls, take messages, greet and assist visitors. Provide a
  • courteous and knowledgeable point of contact between FO and the campus community by providing information and guidance regarding the services provided by FO.
  • Assist with the receipt and processing of customer requests for work to be performed; enter material costs against work requests; complete work requests.
  • Maintain open lines of communication with all office and FO employees on day-to-day tasks.
  • Utilize two-way radio to dispatch appropriate service professionals for calls that require immediate attention.
  • Assist with the receipt and entry of dorm damages and fire code violations.
  • File records, forms and other information and make copies as needed.
  • Open, sort and distribute mail.
  • Order and maintain office supplies, and equipment inventory.
  • Process payment of invoices in College ERP system.
  • Perform other duties and projects as assigned.



Qualifications
  • The ideal candidate will have two to four years of administrative assistant experience and/or training, preferably in a customer-oriented environment.
  • Strong computer skills are required including proficiency with Microsoft Word, Microsoft Excel, email and internet browsers; experience with automated database control work programs is preferred.
  • Willingness and ability to learn new computer applications required.
  • Excellent written and verbal communication skills and professional telephone manner are essential.
  • Ability to interact effectively with a diverse community of students, faculty, staff and visitors.
  • The successful applicant will have a professional, problem-solving demeanor; good judgment and discretion, including the ability to maintain confidentiality; strong organizational skills with attention to detail;
  • Ability to effectively manage deadlines and multiple, competing priorities.
  • Must be able to work independently.
