Job Summary
Perform administrative duties related to personnel, budgeting, fund management, and procurement. Provide skilled administrative support to the Assistant to the Dean, ARP Director, and departments. Must stay abreast of all UTA policies and procedures in order to serve as backup to other shared services staff and train new team members.
Essential Duties and Responsibilities
- Fund Management – Approve designated departmental purchases, confirm fund availability, review account balances, fund transfers and journal vouchers, resolve discrepancies, ProCard management, process travel, grant and cost center close outs.
- Budgeting- enter annual departmental budget into budgeting system (PBCS), resolve discrepancies, confirm accuracy when budget loads.
- Payroll Reconciliation – perform monthly review and verification of faculty and staff salaries ensuring salaries and distribution rates are accurate.
- Resolves any discrepancies and communicates with employees, HR, and Payroll.
- Personnel-onboard new faculty and staff, e-Form preparation and submissions, approving PTO and staff timesheets, submit FMLA requests, receive and report employee injuries/complaints.
- Submit job postings (for recruitment), process appointments, change of status, terminations, and organizes performance evaluations.
- Prepare monthly reports for Assistant to the Dean, ARP Director, and designated departments, to include ad hoc reporting.
- Provide all ancillary support for departmental graduate advisor including responding to program inquiries, student correspondence, processing course permissions and enrollment. Primarily responsible for graduate applicant tracking and processing of all admission decisions.
- Maintain records on program history including student progress and applicant data.
- Input schedule of classes and coordinate room scheduling, etc.
- Arranges events for designated departments.
- Composes complex correspondence, memorandums, and fliers to distribute to the department and other entities.
- Performs other duties as assigned.

Required Qualifications
- Bachelor’s degree.
- Two (2) years of upper-level secretarial experience or High School diploma with six (6) years of increasingly responsible administrative, secretarial and clerical or the equivalent experience.
Preferred Qualifications
- Three to five (3-5) years of experience in a large academic department.
- Knowledge of the University’s academic policies and procedures.
- Knowledge of PeopleSoft.
- Excellent communication skills (written and verbal).
- Ability to communicate and liaise with faculty and administrators.
- Efficient and competent working knowledge of Microsoft Office.
- Proficient knowledge of UT Share, MyMav, Blackboard, Mentis, Digital Measures and other various UTA programs.
