The Post


This role will be based within the Estates & Campus Services and reporting directly to the Directorate office manager. You will be part of a team that provides administrative, financial and clerical support to a diverse and broad group of managers and supervisors. The post holder will be responsible for a high levelof customer service to both internal and external customers.


Description of Duties

  • Assist with the effective and efficient monitoring of the operational delivery of car parking with continuous improvement to achieve optimum performance and a high level of customer service
  • Liaising with external stakeholders, service providers, university staff as well as studentsto establish the highest quality of services required to deliver an excellent experience
  • Liaising with finance and information services, to ensure the smooth running of the car parking systems
  • Provide a friendly and professional customer focus to internal and external visitors to E&CS, ensuring an excellent first point of contact for all via face-to-face, telephone or e-mail
  • Logging and dealing with various requests received by E&CS using a variety of systems and identifying/escalating those requiring urgent attention
  • Communicate effectively at all levels, display excellent interpersonal skills and be able to work effectively within a team
  • Work flexible and be prepared to provide administrative support in other areas of the Service as and when required
  • Commit to on-going personal development forwhich support will be provided
  • Provide cover in the University reception and mail room
  • Participating in ‘in house’ training
  • Prepare a variety of reports from different systems across estates
  • Prepare letters/documents/reports/presentations
  • Help to create, develop and maintain filing systems both paper and electronic, including compliance Filing and Capital Project filing
  • Uploading posts onto Talentlink and following through to contract issue
  • Freedom of Information requests
  • Prepare, check and process purchase orders, invoices. Investigating and reconciling any discrepancies
  • Prepare BACS/cheque requests
  • Process and prepare financial journals
  • Raise sales invoices and other recharges
  • Preparation of annual leave and recording of annual Leave
  • Carry out other relevant and reasonable duties as directed by your line manager, or a member of the Estates & Campus Services senior management team

Essential Criteria
  • The post holder will be educated to at least ‘O’/Standard Grade level or have equivalent experience
  • Substantial experience working in a busy office within a large, complex organisation
  • Excellent verbal and written communication skills, including good working knowledge of Microsoft Word and Excel
  • Experience of developing effective relationships and in identifying and engaging with stakeholders
  • Demonstrable evidence and experience of using continuous improvement methodologies to develop efficient, intuitive and responsive processes
  • Excellent skills in office IT systems including Microsoft word, Excel
  • Ability tomaintain confidentiality
  • Ability to prioritise, manage multiple tasks and meet deadlines with a “can do” approach

Desirable Criteria
  • Experience of working in an Estates environment within Higher Education
  • Experience of working in a reception/mailroom environment
