Library and Information Technology Services Administrative Assistant

Position Title: Library and ITS Administrative Assistant
Reports To: Head Librarian and Director of ITS
Status: Exempt, Academic Full-Time Staff Employee
Position Summary
The Hill School seeks a full-time Library and ITS Administrative Assistant who oversees campus service students. The primary responsibilities of this professional will be to supervise and manage all aspects of the circulation as well as support the librarians and Director of Information Technology Services in a residential high school setting during the school year. The ideal candidate is familiar with Canva, has a willingness to learn Access-it and other library/tech software.
The library is open 7 days a week during the Academic Year (mid-August – mid-June). The Library and ITS Administrative Assistant is required to work 40 hours a week from 8am to 4pm. This position involves rotating Saturday library duties from 12pm to 5:30pm, approximately once a month.
Responsibilities and Qualifications
Primary focus of the Library and ITS Administrative Assistant includes but are not limited to the following:
- Stack maintenance.
- Managing the print and digital periodical collection and print newspaper accounts.
- Processing library materials so that they can be placed in the collection.
- Support the librarians and Director of ITS by processing invoices.
- Ordering materials and supplies.
- Managing the library room reservations
- Logging database and other statistics.
- Preparing reports and other tasks as needed
- Manage the makerspace including but not limited to maintaining an orderly space.
- Assist students in finding library materials.
- Assist students with printing including but not limited to large format prints.
Preferably, a candidate should demonstrate professionalism and have a positive attitude. Also, the professional must be comfortable assisting with library displays as well as the year-end college map display. Experience and demonstrated success working with diverse student communities is preferred, but not required. Previous library experience is preferred, but not required. Start date for this position is August 2023.
