Job description
Position Responsibilities:
- Responsible for answering all incoming phone calls
- Responsible for maintaining clean front desk, waiting area, and breakroom
- Schedule meeting spaces or reserve equipment for special meetings
- Greet persons entering establishment, determine nature and purpose of visit, and direct or escort to specific destination
- Collect, sort, distribute, or prepare mail messages, or courier deliveries
- Order weekly office supplies
- Keep current record of staffs’ whereabouts and availability
- Responsible for greeting all customers, manufacturers, co-workers, and visitors both in person and on the phone
- Responsible for receiving all package deliveries
- Responsible for all aspects of managing incoming and outgoing mail
- Other duties as assigned by manager
Essential Skills:
- Excellent communication skills both verbal and written required
- Ability to multi-task and make good decisions
- Must be able to prioritize workload in fast paced environment
- Entry level word, excel, and outlook experience
- Knowledge of administrative and clerical procedures and systems, managing files and records, designing forms, and other office procedures and terminology
- Knowledge of principles and processes for providing customer and personal services to include customer needs assessments, meeting quality standards for services, and evaluation of customer satisfaction
- Ability to operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions
