Rainbow Behavioural Therapies Limited is an organisation based in the North West of England that offers consulting, training and therapeutic services for individuals, families, schools and care organisations who support individuals with additional learning and behavioural needs.
We value effectiveness and efficiency with a compassionate and open communication approach to supporting our clients and staff team and are looking to recruit a part time administrative assistant to support our growing organisation.
Required qualifications and experience:
- GCSE or equivalent
- Minimum 1 year Administrative Assistant experience (preferably in care or education industry)
- Extensive experience and expertise in using Microsoft Word, Excel, Outlook
- Experience using Xero software
- Experience using Deputy scheduling/timesheets software
Skills

Key roles and responsibilities:
Invoices – using Xero
- Responsible for creating invoices for the directors approval and sending invoices at the end of every month or as required
- Responsible for ongoing reconciling of the bank statements
- Responsible for chasing outstanding invoices and informing the director of any repeat missed or late payments
- Responsible for supporting in any legalities surrounding invoices and payments
- Responsible for responding to client enquires regarding invoices and payments
- Responsible for creating reports and statements as and when needed
Payroll
- Responsible for collecting staff team timesheets from Deputy to send off for payroll every month
- Responsible for keeping track of holiday hours taken by the staff team
- Responsible for approving and/or amending timesheets
- Responsible for communicating with the staff team, accountant and director regarding payroll issues or concerns
- Responsible for distributing payslips and any other payroll documents required
Recruitment
- Responsible for advertising new job roles on various platforms
- Responsible for booking in interviews
- Responsible for sending onboarding documents and ensuring these are completed by new starters
- Responsible for collecting references for new starters
- Responsible for sending contracts to new starters
- Responsible for arranging DBS and any other required trainings for new starters
General
- Responsible for dealing with client’s general enquiries via email or phone call
- Responsible for sending contracts to clients and communicating between clients and the senior leadership team
- Responsible for keeping staff teams schedules up to date and keeping management updated on the availability of the team
- Responsible for tracking staff time spent on tasks against the cost analysis for the organisation
- Any other administrative task as required by the organisation.
Job Type: Part-time
Salary: £11.00-£15.00 per hour
