Responsibilities:
The Administrative Assistant will provide general administrative support to the Department of Philosophy and Religion faculty and students. Duties include overseeing the front desk, greeting and directing all visitors, organizing and scheduling meetings, managing and troubleshooting meeting technology, maintaining office equipment, generating purchase orders, email communications, filing, mail sorting, answering department telephones, and ordering office supplies. The Administrative Assistant will assist with events (catering, room reservations, communications), including workshops, conferences, recruitment activities, and seminars, as required. They will also support Ethics Institute events as needed.
They will create content for, and manage, the websites for the Ethics Institute, the Politics, Philosophy, and Economics program, and the Department of Philosophy and Religion. They will design and create promotional materials including monthly online newsletters, annual reports, event flyers, and event programs. Maintain and expand social media on various platforms (Instagram, LinkedIn, Facebook) for both the Ethics Institute and the Department.
Responsibilities of the role also include supporting the undergraduate student organization; overseeing course scheduling; monitoring undergraduate curriculum and enrollment patterns; tracking faculty teaching loads; understanding and communicating undergraduate program requirements; updating the department’s course catalog; implementing grade change protocols.
The Administrative Assistant hires and manages a team of student workers. They onboard, train, and supervise the student workers; overseeing the delegation of appropriate tasks and review of all work. The Administrative Assistant will take on special projects and tasks as needed to support the department. The Administrative Assistant will maintain a manual for office management operations and update the list of relevant contacts regularly. The Administrative Assistant will continually seek ways to streamline management of day-to-day tasks using support systems and technology.

Qualifications:
Knowledge of office administration practices and processes; basic level of proficiency with MS Office products, including Microsoft Word, Excel, PowerPoint and Outlook. Skills required include ability to plan, organize and set priorities; time management; attention to detail, interpersonal and written communication skills. Ability to carry out special assignments by completing activities, monitoring progress, and ensuring work is completed accurately and on time. Skills and knowledge for this position are typically acquired through the completion of an Associate degree or equivalent and 1-3 years’ relevant experience.
