Working with the People Development Project Support Officer (PSO) you will provide administrative support to the People and Organisational Development (OD) Lead, the Equity, Diversity and Inclusion (EDI) Lead and the Head of People Development to deliver on the goals set out within our People Plans. This will give you access to a wide range of opportunities to build your business administration skills, and to complement your apprenticeship. You will receive on the job training and formal training sessions to establish the knowledge and understanding required to succeed, as well as support from the team towards the end of your apprenticeship to help you take the next step into securing a permanent role within the NHS.
POST SPECIFIC, TASKS AND OBJECTIVES People Plan Delivery Provide day to day high quality, efficient and timely administrative support to the People Development team in delivering our portfolio of work Support co-ordination and administration of a number of internal and external meetings including (but not limited to): preparing agendas, circulating papers, monitoring attendance, liaising with meeting chairs, recording and updating actions Support co-ordination and administration of a number of internal and external events Support the People Development Project Support Officer in the delivery, administration and monitoring of the projects forming part of the People Development portfolio Support with communication activities and keep our internal People Development Team SharePoint site up to date Book staff onto internal training courses and workshops, ensuring that calendar invites are updated, spreadsheets maintained and course facilitators are kept appraised of attendance numbers Support with the smooth running of our desk and training room bookings, updating and maintaining bookings spreadsheets and ensuring that all visitors are welcomed to our site and provided with the information that they need Seek and collate feedback from course attendees around their experience, helping to use that feedback to inform future delivery Support the management of the Learning and Development inbox and respond in a timely manner to all incoming and outgoing enquiries Support in keeping our internal Learning and Development SharePoint site up to date Collate and distribute monthly Learning and Development newsletter General Administration Provide general administrative support for the wider People Directorate including photocopying, scanning, emailing, printing and collation of information packs/handouts Work as part of a team sharing responsibility for the smooth running of the office, including liaising with visitors and supporting events held in our training rooms Complete mandatory training as required by the organisationCommunication and Relationships Work closely with other members of the People Directorate, the wider organisation and colleagues from across the Integrated Care System Work with external training providers in the provision of workshops, programmes, training and development provision Act as a point of contact for the People Development team, dealing with and responding to/forwarding queries from stakeholders and providers Attend team and departmental meetingsInformation Management Maintain and help to develop systems and internal forms to ensure the smooth running of both our business as usual and project elements of the People Development portfolio Ensure that Learning and Development systems and processes are managed and monitored Plan and prioritise own work, raising any concerns around capacity at the earliest opportunity Physical and Mental Effort Physical dexterity required for keyboard skills. The post will include daily use of a computer and long periods of concentration. May be subject to numerous interruptions throughout the day. Requirement to work to deadlines.
