As an Administrative Support Staff, you will provide administrative support to senior leaders within the organization.

This role will provide YOU the opportunity to lead key activities to progress YOUR career, these responsibilities include some of the following:

  • Responsible for full schedule management as appropriate

  • Monitor internal and external correspondence ensuring appropriate reply or prompt delegation and tracking of actions in an independent manner.

  • Escalate necessary queries as appropriate.

  • Handle internal and external telephone calls in an appropriate manner.

  • Work with relevant internal departments and external organizations to research content to prepare correspondence and presentations.

  • Organize travel itineraries, liaising with internal and with external organizations.

Basic Qualifications:

We are looking for professionals with these required skills to achieve our goals:

  • Associate degree.

  • 5+ years' experience providing secretarial or administrative support to senior leadership (CEOs, CBO’s, etc., and their admins) and Academia via e-mail, phone, and face to face stakeholders.

  • 5+ years' experience in MS Office Suite (MS Outlook, PowerPoint, Teams, Word, Excel, SharePoint)

Preferred Qualifications:

  • Bachelor’s degree

  • Experience providing white-glove customer service.

  • Excellent organizational skills with high attention to detail, including ability to handle complex travel arrangements and organize cross-site events.

  • Experience working within a matrix team.

  • Ability to be proactive and anticipate needs.

  • Work with a sense of urgency

  • Experience interfacing with medical colleagues

  • Great attention to detail

  • Ability to work autonomously within a team environment.

  • Experience using systems such as inter- and intranet.

  • Experience with expense systems

  • Experience in anticipating and using independent judgement to perform tasks and logistical support up to and including presentations, team building activities, reports, record-keeping, correspondence, staff meetings, offsite events, coordinating technology and event space (i.e., booking conference rooms, ensuring the event/meeting space has video/audio capabilities, can accommodate audience size, etc.), lodging, travel arrangements, catering, etc.
