Summary
The Admin Assistant will provide administrative support to the Executive Assistant to CEO on all administrative tasks.
Essential Responsibilities
- Performs customer service functions by answering employee requests and questions.
- Maintains employee confidence and protects operations by keeping human resource information confidential.
- Maintains quality service by following organization standards.
- Maintains technical knowledge by reviewing publications.
- Assists with any corporate events and company social events.
- Assists with promoting awareness and helps with marketing of the Green Team projects.
- Coordinates any incoming mails to appropriate delegates
- Ability to prepare shipping labels (Fedex and UPS) for domestic and International packages
- Assists with setting appointments and arranging meetings
- Compiles reports and excel spreadsheets
- Assists with processing of onboarding and terminations
- Assists with the team recruiting efforts as needed.
- Assists with the preparation of the performance review.
- Assists with various research projects and/or special projects and follow ups
- Assists with any compliance government program set forth by local, state or federal agencies
- Makes photocopies, faxes documents and performs other clerical functions.
- Files papers and documents into appropriate employee files.
- Assists with the front desk / reception area as needed, including answering phones.
- Assists with employee benefits and incentives
- Assists with the facility needs of the company.
- Maintain good attendance and punctuality. (Must be in office M-F)
- Performs other duties as assigned.
Job Requirements
- Business or related field preferred or equivalent
- Knowledge of Microsoft Windows and the use of Microsoft Office Suite
- Knowledge of Google Document and Sheets
- Ability to work well in a team with leadership ability
- Ability to handle multiple tasks concurrently
- Strong ability to follow up and problem solve
- Excellent written and verbal communication skills in English (Spanish is a plus)
- Must possess strong interpersonal skills; is positive, pleasant, respectful and customer focused
- Attention to detail
- Must have strong self-discipline and organizational skills
- Good time management
- Ability to work confidently in a rapidly changing, fast-paced and results-oriented corporate environment where a high degree of flexibility is required
Job Type: Full-time
Pay: $21.00 - $23.00 per hour
