Position Description:
We are seeking an experienced, highly organized Administrative Assistant to join our Investment Operations and Fund Treasury Teams. The successful candidate will be primarily responsible for performing general office duties, including scheduling and calendar management, coordinating internal and external meetings and arranging travel. This person will assist with executive board reporting and contribute to Fund Treasury business processes. They will work closely with both senior members of the Investment Operations and Fund Treasury teams. The role requires strong attention to detail, excellent communication skills, and an ability to work in a collaborative, fast-paced team environment.
Primary responsibilities include:
- Schedule and calendar management:
- Proactively manage complex calendars and rapidly changing schedules in alignment with priorities
- Plan and coordinate internal and external meetings, including all related logistics, invitations, meeting materials and follow-up
- Partner with meeting host to build agendas and manage meetings, in keeping with firm’s meeting norms
- Prepare conference rooms and assist with set up of AV and videoconferencing as needed
- Run and moderate Webex and Zoom calls as required
- Coordinate travel:
- Scheduling flights, hotels and transportation services, etc.
- Compile and process related expense reports
- Collaborate with other administrative assistants for multi-person trips as needed
- Provide general administrative support to managers and their teams, as well as:
- Assist in document management, compilation, distribution and storage
- Provide back-up coverage for the Corporate Treasury Team, including the Chief Financial Officer and the reception team as needed
- Coordinate and plan department events
- Support team members in the adoption of new technology and software
- Assist with ad-hoc tasks and projects
- Update job knowledge and skills by participating in training and educational opportunities, as appropriate
Qualifications:
- Have 4-year college degree (preferred). Equivalent job experience may also be considered.
- Administrative experience supporting a department leader and team, preferably in the financial services industry
- Highly organized, strong attention to detail, flexible, reliable, proactive and team-oriented
- Demonstrated ability to manage multiple priorities and deadlines under pressure and to take independent initiative for action within areas of responsibility
- Growth mindset with a willingness to take on new projects
- Excellent written, verbal, and interpersonal communication skills
- Demonstrate sound judgment and discretion
- Technically proficient in MS Office and SharePoint
The salary range for this position is $100k - $120k.
The listed pay scale denotes only the pay range of the base salary and does not include discretionary bonus compensation, which may make up an important portion of the total remuneration.
