About the Role

We are looking for a highly motivated and enthusiastic individual with a professional appearance to join our team, to be responsible for assisting in the day-to-day running of our busy Construction Office, providing an efficient and effective clerical and administrative support service.

The successful candidate will have a minimum of 2 years relevant experience and must be a highly motivated self-starter with experience of working in a demanding office environment. The ability to take instruction, multitask, follow-up and use initiative is essential, along with having good problem-solving skills and experience in prioritising a busy workload. You will be a flexible and supportive member of the team and will report to the Office Manager.

Responsibilities

The post holder will be required to assist directors and senior members of staff as necessary and will be expected to carry out the following duties as directed:

  • Maintain the Company’s electronic and hard copy general filing system in line with the Company policies, procedures and Company filing structure; using both manual and computerised systems, to include inputting data, keeping records, statistics, confidential and general filing systems as directed, and maintaining archive records.
  • Co-ordinating incoming tender packages, including setting up the electronic office files, copying, printing, setting up shared folders (in File Explorer and Outlook), sending out tender enquiries and preparing ender submissions.
  • Supporting the estimating team with tender enquiries, including email distribution of initial enquiry, maintaining records and chasing outstanding quotations.
  • Supporting the Quantity Surveying team with the collation of information for live projects, including RFIs, CVIs, accommodation requirements and compilation of monthly project reports.
  • Carry out general administrative tasks as designated by the Line Manager, including typing correspondence, reports and minutes.
  • Deal with incoming and outbound marketing correspondence and sales calls, enquiry and website emails, as well as planning application and opportunity searches.
  • Field general telephone calls and emails.
  • Deal with incoming and outgoing post on a day-to-day basis.
  • Meet and greet visitors to reception as required; setting up the Company boardroom for internal and external meetings and leave tidy on completion.
  • Assisting with the co-ordination of Health & Safety and ISO processes.
  • Assist with the ordering and maintenance of stationery supplies.
  • Assisting with the collation of information for and distribution of the Operation & Maintenance Manuals
  • Attend and take part in team meetings and regular reviews with line manager

ESSENTIAL Minimum requirements of the role

  • 5 GCSE’s at grade C or above, which must include English Language and Mathematics
  • Well organised with the ability to work to tight deadlines
  • Must be able to demonstrate attention to detail and be able to multi-task successfully
  • Excellent WORKING knowledge of Word/Excel/Access/Outlook/Powerpoint/Internet
  • Good communication and interpersonal skills
  • Ability to be flexible, as required
