Job description
To lead, manage and co-ordinate the primary school’s administration systems and reception function ensuring general workflows, facilitating communication throughout the school and developing procedures to make the workplace effective and efficient.
Key Responsibilities
- Line manage the receptionist/administrator.
- Work with the central MAT HR Manager in supporting SKPS with HR related matters i.e. maintaining and recording personnel data on the MIS, including SIMS personnel files and training records, organising cover staff including from external agencies, maintaining cover diary, recording absences on SIMS and processing RTW meetings.
- Undertake reception duties in the absence of the receptionist/administrator, dealing with visitors to the school and any matters arising from this, including entering information on the SCR.
- Plan, develop, organise and monitor administrative systems and procedures and contribute to the development and implementation of administration policies.
- Provide personal (PA duties) and administrative and organisation support to other staff including Headteacher, Deputy Headteacher and Local Governing Body.
- Liaise with other staff, pupils, parents/carers and external agencies as required.
- Support the administration and organisation of school trips and events including registering these on Evolve.
- Manage and operate school information management systems, both manual and computerised.
- Be responsible for completion and submission of forms, returns etc. as required, including those to external agencies.
- Produce, and respond to, correspondence, whether hard copy or by email.
- Provide information to the Data Manager as required.
- Act as a Deputy Designated Safeguarding Lead (DDSL) and undertake training for this role as required.
- Community use, supporting Trust staff as required (showing potential hirers around, handing over of keys).
- Admissions, In Year including parent contact, processing IYAF, maintaining waiting lists, tours, managing offers, leavers and joiners, all associated paperwork and updating KCC. September admissions, tours, managing offers, checking paperwork accepting places, maintaining waiting list, setting up and supporting transition into school.
- Ordering supplies and management of credit card.
- Ensure close liaison with SKA administrative colleagues will be required to ensure seamless and efficient systems and processes are in place across the two schools.
- Monitor, maintain and update the school’s travel plans via Jambusters KCC’s Travel Plan Management System including ‘hands-up’ surveys.
- Ensure the receptionist/administrator places all SKPS recorded first aid forms in TEAMS folder to allow for first aid analysis.
