Administration Assistant Role Description
Reports to: Charity Manager
Responsible for: Supporting the Peeps’ team with their administration activities, to help ensure the smooth and efficient running of the charity.
Key Relationships
Internal: Charity Manager, Trustees, Family Inclusion & Support Worker, Grants & Fundraising Officer, Volunteer Coordinator.
External: Beneficiaries, organisations including, but not limited to, NHS Trusts across the UK, charities and community groups, and individuals working in the field connected to HIE.
Key Objectives:
- You will be responsible for carrying out administrative duties across the charity such as organising emails, writing letters, managing diaries, setting up invites to meetings, etc. Much of this will be done remotely, although there will be regular team meetings and working with the Charity Manager.
- Maintain accurate records/database of all activities and resources, including stock for parent packs and merchandise.
- Assist in the posting of resources (parent packs, birthday bears, merchandise for example), managing requests, and ordering stock.
- Support with Charity activities such as the HIE Awareness Day, fundraising events, and ad hoc requests.
- Recording of invoices to our accounting database.

Location: This position is mainly home based. This role is to provide support to the team, including the Charity Manager, therefore some hours will be worked from the Peeps’ base in Oldham and has to be within travelling distance of Ashton-under-Lyne where our storage unit is.
Position: 12 month contract (with a view to becoming permanent if funding permits).
Weekly Hours: 10 - Core hours 12pm - 2pm each Monday, the remaining hours are to be worked between 9am - 5pm during the week, though some evening and weekend work may be required to meet workload / events (agreed in advance).
Salary: £6,240 for 10 hour contract (£21,840 per annum full time equivalent)
