Job Title: Administration Assistant
This job requires a DBS check at enhanced level (with barred list for adults)
Reporting to: Head of Administration
Role Purpose: To provide an effective administration and customer care service
Dimensions of the Role:
Care Services forms part of the Operations Directorate of the Royal British Legion. It incorporates the Legion’s care homes, community facilities plus the Admiral Nurse Service.
Our services are regulated because we provide:
- Treatment, care and support including both personal and nursing care to adults in care homes.
- Services for people whose rights have been restricted under the Mental Capacity Act.
- Support to carers of beneficiaries living with dementia.
The post holder will be required to comply with the regulations, legislation and guidance governing the Health and Social Care sector.
Key Responsibilities:
- To respond to reception queries in a professional and efficient manner.
- Assist guests on arrival and departure.
- To answer the telephone in a professional manner, dealing with queries and directing them to specific areas of the Home as necessary.
- To carry out clerical duties for the Home Manager, Head of Administration and other
Heads of Department as necessary.
- Carry out administrative functions associated with operation of the Home utilising the
Legion’s electronic systems.
- To take minutes and prepare agendas for meetings as requested.
- Ordering of stationary.
- To administer the resident’s monies and property, ensuring records and receipts are maintained.
- To support other members of the team, having a flexible approach to work to deliver the highest standards of customer care to colleagues and others.
- Ensure the circulation and administration of all incoming post is timely and appropriate.
- To participate in the RBL QA programme.
- To attend supervision and appraisal meetings as required.
- Any other duties as are within the scope, spirit and purpose of the job, the title of the post and its grading as requested by the line manager or Head of
Department/Division.

- Care home staff, all colleagues, beneficiaries and visitors.

GENERAL:

- To adhere to infection control polices and guidelines in order to promote cleanliness and reduce infections. Hand hygiene must be undertaken correctly to prevent the spread of infection. Personal protective equipment must be used in accordance with
RBL. In addition, to contribute to the cleanliness of the work environment and keep it
"clutter free" and tidy. Also, to attend mandatory training and updates to ensure training is received appropriate to the role.
- To be responsible for your own health and safety and that of your colleagues, in accordance with the Health & Safety at Work Act (1974) and relevant legislation, including reporting immediately any health and safety hazard.
- To work in accordance with the General Data Protection Regulations and Data
Protection Act 2018 and internal procedures regarding GDPR.
- To maintain confidentiality always. Due to the nature of the work, you may have access to material which is confidential. It is a condition of your contract of employment that you ensure that no confidential material is disclosed to unauthorised personnel.

Salary: £11.88-£12.19 per hour
