Job Title: World Class Executive Assistant
Location: Work From Home
Ultimate FD is a leading financial consultancy company that offers expert financial, accountancy, and bookkeeping advice to UK based entrepreneurial clients. We are currently seeking a world-class Executive Assistant to work closely with and support the Founder / Managing Director.
The ideal candidate will have at least five years of experience as an Executive Assistant, with a proven track record of supporting senior executives in fast-paced and dynamic environments. The candidate should possess excellent organizational, communication, and time-management skills, as well as the ability to maintain the highest level of discretion and confidentiality.
Responsibilities:
- Actively managing all of the MD’s communication channels including emails, WhatsApp, and social media accounts
- Ensure all clients are looked after to the highest standard and with world class communication
- Manage the Managing Director's complex calendar, including scheduling and prioritizing appointments and meetings
- Ensure all company systems are organised and kept up to date at all times
- Ordering any items for the company or MD’s personal use and ensuring best price achieved
- Organise the production of the weekly podcast (no editing / audio skillsets required just organisation of the process)
- Update weekly, monthly, quarterly, annual schedules in line with scheduled check ins with the MD
- Manage all the MD’s company expenses to ensure processed correctly
- Manage all documents, open any online accounts, and prepare any documents for signature
- Produce monthly director pack with comprehensive business summary
- Attend meetings and take detailed notes, ensuring follow-up actions are completed on time
- Conduct any larger one off admin projects for portfolio of businesses
- Ensure all special events (birthdays, holidays, client gifts) are organised well in advance
- Mange the MD’s property portfolio by dealing with day to day situations with the managing agent
- Ensure all property utilities are kept up to date and on the cheapest tariff
- Ensure all mortgage products are reviewed regularly and kept at competitive rates
- Coordinate travel arrangements, including booking flights, hotels, and transportation
- Prepare and edit correspondence, reports, and presentations
- Conduct research and compile data to assist with decision-making and strategic planning
- Seek to improve processes and build new ones to make the role more efficient as well as staying on top of the day to day
- Complete any additional ad hoc business or personal requests by MD in a timely fashion
Requirements:
- Minimum of five years of experience as an Executive Assistant, supporting senior executives in a fast-paced and dynamic environment
- Strong organizational, communication, and time-management skills
- Excellent written and verbal communication skills
- Ability to handle sensitive and confidential information with the utmost discretion and professionalism
- Proven ability to prioritize and manage multiple tasks simultaneously
Additional Experience - Preferred but not essential:
- Asana - Task management software
- Xero - Bookkeeping software
- Google Drive / Google Docs
Benefits

- 20-25 hours per week
- Preferred working times 10-2 daily, however flexible to suggestions
- Rate of £15-17.5 per hour depending on experience
