The Counter Terrorism Policing (CTP) network stretches across the UK. We work to protect the public and our national security by preventing, deterring and investigating terrorist activity.

Our multi-functional Business Services team supports CT policing across the wider West Midlands region through the themes of People, Places and Finance. As a Workplace Services Assistant on our Places team, you’ll use your excellent customer service and communication skills to provide a comprehensive service to the West Midlands Counter Terrorism Unit.

Based at our modern office complex near to Birmingham International Airport, you’ll work full-time, Monday to Friday, from 7am to 3pm or 8am to 4pm but an element of flexibility is necessary to meet operational requirements.


The role

As a Workplace Services Assistant, no two days are the same - you’ll undertake a wide range of tasks from managing travel and meeting room bookings, processing requests for goods and services, catering, and vehicle reservations as well as undertaking health and safety duties and working as part of a team to provide a proactive and reactive facilities management service across the WMCTU estate.

Using your excellent customer service and communication skills, you’ll work to ensure you deliver against team Key Performance Indicator targets and you’ll also understand the importance of accuracy when undertaking tasks. You’ll sometimes work on your own initiative and prioritise tasks accordingly.

Due to the nature of the role, you'll be required to participate in an out-of-hours on-call roster (approximately one week in five) for which an additional on-call allowance is paid. You’ll also need a full, clean, driving licence and be willing to undertake a police proficiency driving evaluation as you’ll be driving police vehicles to various sites in and around Birmingham.


Role responsibilities

  • Answering telephone calls, emails, on-line portal requests, and face to face enquiries from internal customers and external organisations.
  • Liaising with the wider Places team over maintenance and security issues, repairs and improvements
  • Processing visitor clearances for contractors to CTU sites
  • Ordering and distributing stationery, forms, equipment etc. to operational officers and staff
  • Provide Health & Safety administrative support
  • Undertake general administrative responsibilities to ensure physical site security requirements are effective (e.g. issuing security fobs, ensuring escorting of contractors). This includes attending and updating systems at all sites on the CTU estate
  • Collecting and distribution of incoming post and goods
  • Administering fleet vehicles and parking passes
  • Booking travel and accommodation adhering to WMP policy and procedure
  • Booking meeting rooms and catering requirements
  • Using the public address system as required
  • Undertaking transactional duties in relation to maintenance requests, purchase orders, and general requests received through the on-line service portal
  • Collating and updating information for managers including statistical returns
  • Providing support to other Business Services teams during periods of peak demand

Skills and competencies

Essential

  • Excellent IT skills, including Microsoft Word, Excel and Outlook
  • Excellent customer service skills
  • Effective written and verbal communication skills with a high degree of accuracy and attention to detail.
  • Ability to demonstrate a flexible attitude towards work, including new processes and systems quickly and efficiently, to support team objectives.
  • Ability to manage own workload with limited supervision
  • A full driving licence and willingness to undertake police proficiency driving evaluation.
  • Willingness to participate in out of hours on-call roster.

Desirable

  • Previous experience in a similar role or relevant life experience. This may include learning gained from short courses and/or formal training
  • Understanding of health and safety at work with an awareness of own responsibilities and actions
  • Knowledge of Oracle based systems

You must be a British citizen to work for the Counter Terrorism Policing West Midlands (CTP WM). If you hold dual nationality, with the primary nationality British, you may also be considered. For the purposes of safeguarding national security, applicants will be required to hold or acquire the appropriate national security vetting clearances of Security Check (SC) in line with Cabinet Office Policy, supported by Section 82(2) to (4) of the Police Reform Act (2002). CTP WM will support preferred candidates through the appropriate vetting process.
