Job summary

The position of the Works Services Clerk will be directly responsible to the Station Facilities Manager, providing support and guidance regarding Estates Infrastructure matters. The position is based within Facilities Management Squadron (FMS) at Royal Air Force Honington.

The position is advertised at 37 hours per week.

Job description

The successful candidate will form part of team interface between Station and Defence Infrastructure Organisation (DIO), including their Industrial Partners and customers across the estate. They will be responsible for general administrative tasks to assist the efficient output of Works Services Flight (WSF) such as the promulgation of announcements affecting the day-to-day running of the Station e.g. power outages and road closures and the control of files and documentation. Assist OC WSF in arranging siting boards and meetings through the booking of conference rooms and distribution of invites. They will manage the Building Custodian (BC) Register and issue TORs to both Building and Barrack Block Custodians, providing generic and bespoke briefs to new BC’s as well as ongoing support and guidance throughout their tenure as BC. They will also record and manage the allocation of domestic garages on Station maintaining an accurate Station Garage Register, issuing Garage Tenancy Agreements, and carry out Handover/takeovers. As part of the role, the Administrative Officer will act as Encroachment Administrator for all Station Encroachments raising paperwork for Encroachment Applications and Agreements and keeping records of Encroachment paperwork in consultation with DIO. Escorting duties form a key part of the role in supporting the Station Facilities Manager, on behalf of the head of Establishment, meet the Contractors requirements to carry out regular legislative checks and pre-planned maintenance. They will provide emergency cover and support for the Accommodation Cell and deputise for the Station Facilities Manager during periods of absence.

Essential:

IT proficient with experience of OUTLOOK, Share Point, Excel and Word as well as experience in delivering customer service. The post holder must adhere to MOD Diversity and Inclusion.

The successful candidate must be able to adapt to changing requirements and meet tight deadlines. A strong customer focus, with effective communication skills is required. A physically active role at times candidates will be required to carry out escorting and handover/takeovers of buildings and garages across the whole estate and on to construction sites.
