Department
White Rose Libraries (WRL) is a collaboration between the University Libraries of Leeds, Sheffield and York. There are currently three key areas of focus: White Rose Repository services, White Rose University Press, and Innovation. WRL also carries out project-based work either to improve services across the three sites, or as part of externally funded projects.
Role
White Rose Libraries is looking for an Administrative Assistant to support the work and activities of the WRL Executive Manager. You will provide administrative support for WRL meetings, events, project groups and White Rose University Press, including preparing agendas and taking minutes, and maintaining project action plans and meeting action logs. Communication, collaboration and service delivery are key parts of this role, requiring strong working relationships across WRL and beyond, and the use of various tools to support collaborative working and effective communication. You will monitor and maintain mailboxes supporting WRL activities, including the repositories, and ensure that key stakeholders, internal and external, are informed about WRL activities and projects. The role is based in York, and would involve regular travel to Leeds and Sheffield.
Skills, Experience & Qualification needed
- Ability to use excellent computer skills and administrative experience to support and contribute to the activity of WRL collaboration
- A strong service ethos and customer focus
- Excellent interpersonal and communications skills, including face to face, telephone and written communication skills, and the ability to build good collaborative working relationships
- A proactive approach and the ability to apply problem-solving skills
- Attention to detail and able to work flexibly and accurately, under pressure and to tight deadlines in collaboration with a wide range of colleagues
The post is full time, offered on a fixed-term basis until 26 March 2025.
