Wedding and Event Co-ordination with Operations

The ideal candidate will be passionate about being part of Little Piggy’s successful catering and events business and will be committed to delivering the dream. Demonstrating excellent event planning and delivery abilities. We are looking for an energetic and passionate individual who will take the lead on improving and maintaining company event planning and front-of-house operations. With a keen eye for detail and a no-nonsense attitude, this individual will ensure client needs are exceeded whilst delivering events on budget and in line with company strategy.

This role requires solid industry experience in events.

Responsibilities:

Client Journey Excellence

  • To continually review, develop and maintain the client journey process to ensure full customer confidence in the lead up to and satisfaction after events
  • To manage the busy inbox effectively, promptly replying to emails and enquiries in a timely manner
  • To communicate effectively with the client and ensure the Little Piggy Team are kept up to date with changes as necessary
  • Work closely with the sales and marketing and kitchen teams to ensure the message between sales and delivery remains consistent, managing client expectations where necessary and communicating in house as appropriate
  • Undertake menu and service amendments during the process and amend quotes/budgets accordingly
  • Use the client management system to its full potential
  • To deal with client concerns or complaints in a professional and timely manner

Event Planning

  • To plan all elements of the weddings and events in line with the quotation and the budget

Create systems and procedures and carry out activities required to ensure smooth running of events including but not limited to;

Site Visits

Client Meetings

Tastings

Supplier Management

Creating necessary management documents and planning aids

Communicating event needs to the kitchen team in a timely manner to ensure client needs are met

Team Management

Lead the recruitment of part time event delivery staff

In conjunction with the HR/Directors develop job descriptions as necessary

Ensure staff members are inducted according to company protocols and ensure all staff have the relevant training commensurate with their role

Manage the rota to ensure event staffing is in line with needs and budgets. Aim for 10% of event value for part time staff.

Identify areas for continuous improvement and staff development

Develop respectful working relationships with staff and deal with any staff/safeguarding issues

Conduct 1-2-1 meetings with employees and parents as necessary.

Ensure necessary paperwork is prepared and completed to aid management.

Event Management

Ensure necessary equipment is available and packed for each event

Ensure necessary handover documentation is available for each event

On the day event management

Crisis management

Give feedback and highlight areas for improvement for the smooth running of events.

Supplier Relationship Management

To identify and develop relationships with all associates including venues/photographers etc to build relations in order to form symbiotic supplier relationships. Where possible identify where commissions may be sought and recommend venues for partnerships

Schedule:

  • Day shift, with some evenings in line with event bookings
  • 9.30am-4.30pm, Saturdays 9.30am-10.30PM
  • 41hrs a week, hours in lieu gained during the summer months
  • Tuesday to Saturday
  • Salary contract
  • 2 days off per week
  • Flexible working hours if tasks are completed

What you bring to the table:

  • Full UK Driving licence
  • 3 years of experience in wedding or event management
  • Exceptional communication skills

  • Be capable of multitasking, prioritising, and managing time efficiently

  • Have experience working as part of a team and have the ability to work effectively with others.
  • A calm and accepting view to change and the ability to react to this quickly and efficiently

Job Types: Full-time, Permanent

Salary: From £25,000.00 per year
