An exciting opportunity has arisen for an enthusiastic and friendly ward clerk to join our department ; this is a part-time, fixed term post.

Post holders work in the department supporting the clinical team and are responsible for updating bed states, admitting and discharging on the computer system, filing, dealing with patients and relatives and working in busy and demanding areas. Good computer skills are essential also good communication skills both in person and on the telephone.

ORGANISATION
- Prioritise and organise own workload ensuring an efficient and effective system is maintained within the ward.
- Manage multiple tasks in a timely manner.
- Obtaining patient health records and ensure that health records are assembled following written guidelines and that the documentation contained therein is correct, so that high quality standards are maintained before release from the ward.
- Ensure reports and referral letters are escalated to the appropriate people/ department within appropriate timescales.
- Prepares for doctors ward rounds, maintaining an efficient and effective filing system at all times.
- Arranging Day Case, Ward Attender and booked admissions work as agreed with the Ward manager.
- Ordering stores and equipment, under supervision of budget holder, i.e., stationery, routine items, keeping cupboards tidy and unpacking stock when delivered.
- To assist and be responsible for the repair of patient health records before they are despatched from the ward to another department.
- Assist in the training of new staff and work experience students as guided by the Support Manager.
- Preparation of incoming and outgoing mail.
- Operates a VDU, ensuring accurate data input and obtaining information from the Patient Administration System.
- Perform reception duties, dealing with patient enquiries, directing patients to waiting areas/beds and ensuring effective communication at all times.
- Answering the telephone and taking messages.
- Ensure written and verbal communication for pre and post discharge is followed through to other health professionals, e.g. GP’s and Social Services.
- Ordering ambulances and making outpatient appointments as required.
- Handle data relating to patients of a confidential nature, ensuring non-disclosure of confidential information.
- The post holder is expected to provide effective communication by establishing and maintaining positive inter-personal relationships with other staff members.
- To maintain excellent inter-personal skills when dealing with patients at all times.
- Liaise with other departments as required.
- Hand-delivery of referrals and investigation requests to different departments as required.
- Reports to the Ward Manager items for repair and liaises with the works department by following agreed procedures.
- Communicate appropriately with a range of people at different levels of the organisation.
- Observe all Trust policies and procedures appertaining to Harrogate & District Foundation Trust, including reporting of incidents and accidents.
- Maintain and update the patient iCS computer system in line with the ‘real time’ system.
- Be proactive in relation to collating information e.g. VTE, target discharge dates
- Monitor ward activity.
- Photocopying of correspondence.
- Promote the dissemination of quality patient information.
- Able to embrace technology to maintain and develop the administrative aspect of patient care e.g. electronic patient record
- Participate in internal and external audit\research and development for professional bodies collating and producing data as required.
- Ensure that case notes are correctly maintained following guidelines and that the documentation contained therein is correct. High quality standards are to be maintained at all times.
- Complies with the requirements of the Caldicott Report, the Data Protection Act, Access to Health Records Act and subsequent legislation issued in relation to computer retained data, preserving confidentiality of patient identifiable data at all times.
