Job Title: People Assistant
Department: People Operations Team
Type of Contract: Full-time Permanent
Location: Manchester
Salary: £23,000 - £25,000 per annum depending on experience
Job Overview:
We are looking for a committed individual with a passion for a career in HR is expected to fulfill administrative duties across all HR areas.
The key tasks include but are not limited to:
- Manage and maintain personnel files and HR records both online and offline, and ensure them to be complete, accurate and up-to-date.
- Take responsibility of the onboarding, internal transfer and leaving processes; provide guidance to ensure the smooth running of these processes. Assist with organizing regular new joiner induction meetings and probation seminars.
- Ensure all HR files and records to be compliant with UKVI requirements such as RTW checks, record keeping standard for work visa holders. Assist in performing work visa sponsors’ duties.
- Issue HR documents such as employment contracts, HR letters of changes of T&Cs, employment letters, responses to reference request, and so on.
- Maintain End of Month records accurately and keep Finance team updated on time.
Recruitment
- Be responsible for managing the entire recruitment cycle. Coordinate and manage recruitment activities to ensure vacancies are filled in line with agreed timescales.
- Collaborate with line manager and hiring managers to identify hiring needs. Execute recruitment plans.
- Develop a pool of qualified candidates in advance of need.
- Work with hiring manager to design and job descriptions continuously.
- Consistently review and improve on the use of recruitment channels as well as recruitment processes.
- Continuously develop employer’s online presence on company’s careers pages, social media platforms and job boards, etc.
- Conduct regular salary benchmarking research and generate reports accordingly.
- Attend job fairs when needed.
Attendance Management
- Involve in formulating internal attendance policy.
- Process relevant enquiries and provide advice on relevant policies and procedures.
Others
- Provide full administrative support to other HR areas including but not limited to performance management, training & development, compensation management, company culture, employment law & employee relations management, etc.
- Be responsible for internal monthly HR newsletter.
- Process employee queries with excellent level of customer service.
- Undertake/be responsible any other HR related work/projects as required.
Required Knowledge, Skills and Experiences:
- Have a degree in HR and/or CIPD level 5 equivalent or above or have been working at a similar level.
- Have sound HR knowledge and be able to demonstrate proven experience in HR administration/recruitment/training.
- Experience in a fast-paced and constantly changing work environment.
- Experience in writing HR documents and policies.
- Previous administration experience would be beneficial.
- Excellent communication skills.
- Excellent verbal and written skills in both English and Mandarin.
- Computer Literate, experienced in the use of Microsoft applications, in particular Microsoft excel.
- Attention to detail is essential.
