Applications are invited for a police staff Coordinator within the High Harm Perpetrators Unit (HHPU) and Public Protection. The successful candidate will work closely with the current ViSOR Coordinator, to provide much needed resilience and share a demanding workload. This role supports three divisional teams of Public Protection officers and staff who manage various cohorts of Offenders, some in custody but mainly those living in the community. Using the computer system ViSOR you will ensure that Surrey police delivers an excellent service, in respect of the management of Registered Sex offenders, and other dangerous offenders, thereby helping to protect our communities from crimes that cause the most harm in line with the Surrey Police commitments.

The Role & Key Responsibilities
You will be a point of contact within the HHPU for enquiries pertaining to all MAPPA (Multi Agency Public Protection Arrangements) offenders from partners, internally and externally.
Working within National Guidelines, you will update police systems in particular the secure ViSOR database, creating and maintaining top quality nominal records and administrating the transfer of offender records into and out of Surrey Police area.
You will support the team by ensuring all new offenders are allocated, visited and risk managed in a timely way.
Daily administration of the department mailbox, to field enquiries and action new information.
You will maintain performance spreadsheets, uphold excellent standards of data quality, and interrogate systems to prepare regular statistical reports for a variety of purposes, some for publication, others for performance management.
The successful applicant will support the team with checks and circulations using PINS, Eborders, and other computer systems.
You will work with minimal supervision, reporting to the HHPU Sergeants to allocate work to the correct divisional areas, and prepare reports for Senior Management colleagues to ensure they are informed about the overall demand and performance of the HHPU.
On occasions it may be necessary to work in other police stations (Guildford or Staines) in Surrey, when the job requires it.
You will need to be willing to learn systems and processes, and be prepared to give advice on best practise and procedures, and could be required to train other colleagues in the use of ViSOR.
Skills & Experience
You will have excellent customer service skills, and demonstrate highly effective communication skills, as you will be answering enquiries from familiar and new contacts. You will network with ViSOR coordinators from other Forces, colleagues from Internal departments and other agencies, such as Courts and Prisons, to maintain highly efficient levels of service.
The postholder will have impeccable standards of integrity and discretion, and will be vetted to enhanced clearance level.
You must have confidence in using a variety of computer systems as you will be using the following Secure police systems on a daily basis – ViSOR, PINS, Eborders, Niche. Whilst experience of these would be desirable, it is not essential as training will be provided. However you must be able to adapt and learn new systems quickly and effectively.
Essential
GCSE or equivalent level of education.
Thorough knowledge or the ability to develop such knowledge of the HHPU criteria and process.
Proven and well-evidenced experience in office and administrative procedures and systems, including good knowledge of Microsoft Office functions in particular Word, Excel, PowerPoint and Outlook.
The ability to adopt a methodical approach, multi-task and manage a varied workload, with often high demand.
Excellent customer service focus and interpersonal skills, in particular oral skills, on the telephone. The ability to get on with people and communicate effectively across a wide spectrum of individuals, agencies and offenders whilst able to be assertive when required.
Good written communication skills, including the ability to produce clear, concise and accurate written records, and maintain detailed and comprehensive spreadsheets.
The ability to work effectively with minimal supervision (using own initiative) in a timely fashion, using appropriate organisation skills.
The ability to demonstrate impeccable standards of integrity and discretion and a professional attitude towards dealing with confidential work, and sometimes written material pertaining to sexual and violent crimes.

The post holder is required to successfully pass Vetting checks.
The post holder is required to undergo an occupational health screening due to the exposure of sexual and violent offender management within the ViSOR and MAPPA context.

The post holder will be expected to undertake further training on Surrey Police IT systems in order to develop additional skills.
Desirable
A good understanding of the role of the Crown Prosecution Service, Courts and the Probation service and how they interface with the Police Service.
Knowledge of / training in the use of the Police National Computer (PNC) and the Police National Database (PND).
