POSITION SUMMARY:
The Temporary Executive Assistant to the VP, COO and Treasurer provides executive-level programmatic and administrative support on a wide range of issues, projects, programs, events, and other matters of importance to the Treasurer’s Division. This position represents the Treasurer and the Treasurer’s Division in communications and interaction with senior staff, trustees, faculty, students, and external constituencies and must have exceptional verbal and written communication skills. Ability work with financial information and to perform basic spreadsheet analysis is also required. This position supervises and coordinates the administrative activities of the Office of the Treasurer and the Investments Office. The position works independently and handles highly confidential information. The Executive Assistant performs a wide variety of executive administrative tasks and support to relieve the VP COO and Treasurer of detail and routine matters. The incumbent is expected to use sound judgment, informed decision-making and must have a concern for detail and timeliness, as well as appropriate discretion to deal with complex, confidential and sensitive issues. This position also works cooperatively with other staff members in the Office of the President to cover phones, greet visitors, and assist with clerical tasks, should this assistance be requested or required.
QUALIFICATIONS:
Education: Bachelor’s degree in any field is required.
Experience: We are looking for someone with administrative experience with increasing responsibility as an executive assistant in a complex and multidisciplinary office. Experience at an academic institution (Pomona & or other Claremont Colleges) with service to a senior management executive handling highly confidential information is preferred.
Knowledge, Skills and Abilities: Seeking someone who deploys professional skills in Academic Affairs, in collaboration with colleagues, to best promote the College’s strategic interests. Highly developed problem-solving and troubleshooting skills. Ability to work as a collaborative team member. Ability to make independent decisions and take initiative. Demonstrate effective, accurate and clear communication with excellent verbal, written, interpersonal, reading, phone, and customer service skills. Operate computers proficiently with basic Microsoft Office software (such as Word, Excel, Outlook) and associated professional software (such as CX CARS, WorkDay, Raiser’s Edge, Internet research, menu-driven databases). Handle all activities and highly confidential information with patience, discretion, good judgment, courtesy and tact while working with people from a wide variety of backgrounds. Operate the College’s vehicles safely for campus-related work and meet all insurance-related requirements.
REQUIRED HOURS:
The regular hours for this temporary part-time position are at least 32 hours per week. Overtime, holiday, weekend, and evening work hours may be required. Regular hours may vary due to needs of the College or division. Work from home opportunities may be available.
ADDITIONAL POSITION DETAILS:
This is a temporary part-time, non-exempt position. The hourly rate for this role is between $25 and $28. The specific factors that the College will consider when offering a salary to an individual will include, but not be limited to: education, training, relevant prior experience, and performance in prior roles.
