As a Travel Coordinator at Coach Hire Direct, you will play a vital role in ensuring the seamless execution of travel services for our incoming private, tourism and corporate charter clients. Your primary responsibilities will include coordinating transportation for various events and occasions, such as corporate transport, conferences, product launches, and any ad-hoc or regular requirements to move groups of people between locations.
Responsibilities:
Client Liaison: Act as the primary point of contact between clients and Coach Hire Direct, ensuring clear and effective communication to understand their group travel requirements.
Supplier Management: Collaborate with new and existing coach companies to source and secure suitable transportation solutions for clients. Negotiate terms and rates to achieve cost-effective options.
Relationship Building: Cultivate and maintain strong relationships with coach companies, fostering trust and reliability. Continuously assess and expand the network of coach providers to meet the diverse needs of our clients.
Client Solutions: Work closely with clients to gather detailed information about their travel needs, preferences, and any special requirements. Tailor transportation solutions accordingly.
Itinerary Planning: Develop comprehensive travel itineraries that include pick-up and drop-off schedules, routes, and any additional services requested by clients.
Quality Assurance: Ensure that selected coach companies meet or exceed the quality standards set by Coach Hire Direct, including vehicle maintenance, driver professionalism, and adherence to safety regulations.
Cost Management: Monitor costs and budgets to provide competitive pricing to clients while maintaining profitability for Coach Hire Direct.
Documentation and Contracts: Prepare contracts, agreements, and all necessary documentation for clients and coach companies, outlining terms, conditions, and expectations clearly.
Problem Resolution: Address and resolve any issues or concerns that may arise during the planning and execution of group travel, ensuring client satisfaction.
Continuous Improvement: Stay informed about industry trends, regulations, and best practices. Seek opportunities to improve processes and enhance the quality of services provided.
Data Management: Maintain accurate and organized records of client preferences, historical travel data, and supplier information to streamline future bookings.
Administrative Tasks: Handle administrative tasks related to group travel coordination, including invoicing, billing, and record-keeping.
Communication: Keep clients and coach companies informed of any changes, updates, or special requests related to group travel arrangements.
Feedback Collection: Solicit and collect feedback from clients and coach companies to identify areas for improvement and ensure ongoing customer satisfaction.
Compliance: Adhere to all relevant laws, regulations, and company policies related to group travel coordination and customer service.
