JOB TITLE: TRAINING & TRAVEL CO-COORDINATOR
REPORTING TO: OPERATIONS DEPARTMENT LEADS
PURPOSE OF JOB:
To work within a very busy Operations Department as part of the team, Primarily responsible for Training and Travel and eventually standing in for Operations leads during annual leave or absences.
RESPONSIBILITY:
- Maintaining of company personnel training records and database – verification of new personnel training and competence.
- Make travel arrangements for offshore and overseas mobilisations and demobilisations for company personnel, to include but not limited to booking flights, hire cars, taxis and hotels
- Assist with the recruitment and mobilisation of personnel to offshore/overseas locations as and when required.

MAIN DUTIES:
- Maintain Company Personnel Training Records and database.
- Make travel arrangements for offshore and overseas mobilisations and demobilisations for company personnel, to include booking flights, hire cars, taxis and hotels
- Ensure that the personnel movements database (SharePoint) is kept up to date.
- Accurate and timely completion of mob and demob trackers with supporting documentation for the Finance department
- Research any visa, travel or immunization queries in relation to personnel mobilisations
- Process visa applications for personnel travelling abroad.
- Arrange offshore inductions and issue associated forms & documents
- Provide cover on the out of hours call out rota for Personnel Logistics
- Liaise with Materials Department to ensure appropriate PPE is available
- Enter, update and maintain offshore personnel Training information within the SharePoint database.
- Issue out, and follow up on the return of Contractor Agreements to offshore Ltd Co. and CIS workers via DocuSign.
- Verification of Ltd Co. and CIS insurance certification in accordance with Contractor Service agreements.
- Maintain tracker for submission of Ltd Co and CIS insurance certificates and policy expiry dates.
- Issue out and follow up on computer based training for new starters & existing workers via the LMS as appropriate and report on any gaps/non-compliance.
- Ensure GDPR compliance in relation to retention/removal of personal information from DSL systems eg. speculative CV’s, previous workers etc.
- Verification of trade specific qualifications / competence requirements in accordance with legislative, Company and client requirements.
- Ensure all offshore personnel files are maintained with current certificates -qualifications including passports / eligibility to work etc.
- Book all training courses/medicals and survivals for offshore personnel and arrange travel/accommodation, if required.
- Ensure an awareness of and full understanding of both individual and departmental HSE responsibilities and carry out all activities accordingly.
PERSON SPECIFICATION:
- Good working knowledge of industry specific training and competency requirements.
- Demonstrable experience in logistics and personnel co-ordination.
MINIMUM EXPERIENCE:
- Previous experience in a similar role
MINIMUM QUALIFICATIONS:
- A good standard of education: eg GCSEs or equivalent.
- Computer literate, to include word, excel and outlook
PERSONAL ATTRIBUTES:
- Be able to work under pressure and use own initiative.
- Possess a flexible attitude towards working hours.
- Good communication skills
- Confident telephone manner
ADVANTAGEOUS EXPERIENCE:
- Training and Travel logistical experience.
ADVANTAGEOUS QUALIFICATIONS:
- Familiarity with the use of SharePoint.

Salary: £25,000.00-£30,000.00 per year
