Description of Duties:
Develops and maintains Standard Operating Procedures (SOP) for Grand River Transit (GRT) Fleet staff. Develops and maintain comprehensive SOP manuals. Documents and maintains all warranty information and collects all warranty claims. Analyzes maintenance trends and life cycle costs to prepare repair/replacement recommendations. Prepares, schedules, and delivers operational training programs to GRT Fleet staff.
Duties/Responsibilities:
Researches, creates, establishes and maintains SOPs for GRT Fleet staff. Documents standard procedures outlining the appropriate way to perform repairs and services to GRT Fleet. Conducts extensive technical research in the creation of SOPs in order to accurately document, write, and outline appropriate ways of performing preventative and corrective maintenance to vehicles. Follows up with staff to ensure SOPs and guidelines are understood and adhered to; reports any issues to supervisor.
Develops and maintains an SOP manual; updates electronic and paper copies as required. Takes digital pictures and obtains other documentation, as required, to include in SOP manuals. Coordinates the ‘Reasonable Expected times’ committee, production and shop meetings, which includes taking minutes, and updating the manual accordingly.
Researches and establishes ‘Reasonable Expected’ repair and service times, as well as appropriate parts and tools to be used. Coordinates, collects, and analyzes performance data from the Fleet Management System (FMS). Documents GRT Fleet policy and procedures and develops an employee handbook.
Utilizes FMS to determine warranty claims. Enters and maintains all warranty information in FMS. Reviews all repairs made to GRT vehicles and ensures replacement or reimbursement of parts under applicable warranty. Reviews warranty requirements on components and determines applicable warranty. Documents and processes all warranty claims. Follows up with vendors regarding payments.
Assists Planner/Scheduler, Transit Fleet Maintenance in preparing preventative maintenance and overhaul schedules, for both body and mechanical work. Maximizes availability of vehicles to meet commitments and optimizes utilization of resources.
Assists Planner/Scheduler, Transit Fleet Maintenance in researching new techniques, equipment, and materials.
Prepares, schedules, and delivers servicing and repair training programs to GRT Fleet staff, based on input from Fleet Supervisors. Implements and maintains a mechanic training program to provide technical skills for mechanic to repairs buses.
Prepares and implements safety practices and procedures and ensure employees receive appropriate safety training.
Selects and develops teaching aides, such as handbooks, visual aids and reference materials. Conducts one-on-one and small group training sessions. Provides demonstrations, and workshops to illustrate the SOPs.
Attends training sessions provided by outside agencies such as vendors and recognized training institutions.
Performs related duties, as assigned.
Knowledge, Skills & Abilities Required:
Knowledge of fleet service operations and management, including operational and decision-making processes, acquired through related education (e.g., Truck and Coach Technician (310T), Automotive Service Technician (310S), Automotive Technology or Engineering Technology diploma), plus 3 years of related experience in a fleet management environment.
Knowledge of and ability to follow policies, procedures, and related legislation and regulations (e.g., Highway Traffic Act, Transport Canada Acts and Regulations, Workplace Hazardous Materials Information Systems).
Human relations and organizational skills to communicate with Transit staff, deliver training, presentations, and instruct staff in specific work methods or procedures; provide maintenance information, revised systems and procedures to management; advise others in a timely manner of decisions, changes, and other relevant information; and participate as an effective team member.
Ability to read and interpret legislation, policy and procedure manuals, work-related and technical journals, manuals, reports, warranties, correspondence, and supplier/vendor information. Ability to write detailed and technical SOPs and manuals, reports to committees and management regarding SOPs, warranty and training information, policies and procedures, and correspondence.
Analysis, research, and judgment skills in order to develop SOPs, review warranty claims, and review FMS information. Detail and proofreading skills in order to ensure all SOPs and warranty paperwork is accurate and correct.
Computer skills using software such as Microsoft Office, an integrated fleet management system, and Crystal Reports.
Occasionally required to conduct training during evenings and weekends, based on training requirements of staff on different shifts.
Ability to travel within Waterloo Region.
Ability to support and demonstrate the Region’s values.
