Job Summary:
The Proposal Specialist/Technical Writer and Sales Support Coordinator within Ainsworth Energy Services will work in close collaboration with the sales/business development and operational teams through the RFP / RFQ process from reception to submission. The job incumbent will standardize the bid response process in developing creative tools and templates. The area of proposal development will be in energy services and well as technology, which are both a business focus for Ainsworth and for our clients and society as a whole. Maintaining related information including customer profiling and opportunities, to perform the function using various business systems and tools (e.g., SalesWays, compliance portals, bids portals, etc.).
Key Responsibilities:
- Develop creative presentations and prepare content for sales and business development related proposals & meetings;
- Lead and participate in writing of proposals, RFP responses, submissions.
- Create document templates for bid responses, including branding and graphic design;
- Coordinate and participate in the production of responses to RFPs - develop a response schedule, monitor progress, and ensure timely a response;
- Take direct lead on specific pre-qualifications, tenders, RFPs, and RFQs as required
- Liaise with Insurance and Bonding companies to set up formal bonds, insurance certificates, Liaise with Internal departments for other bid documents as required.
- Act as a liaison between internal department in the RFP process and ensure all relevant information is available to stakeholders;
- Review completed proposals for consistency, quality, compliance, formatting and graphical layout;
- Format, Print, Bind and ensure any special requirements as stated by the client is met.
- Prepare both internal and external communications regarding important company updates;
- Monitor RFPs and identify opportunities for business development (i.e. trade shows, industry events);
- Organize all proposals and responses in folders in the shared drive according to the requirements of the organization and for future reference
- Plan and participate in company events, assist to coordinate related marketing activities;
- Identify opportunities for process improvement and efficiencies;
- Maintain bid platforms login credentials
- Review all bid platforms and set-up to capture correct opportunities, for Energy Services related business in all regions
- Daily review of bid platform to capture opportunities for Energy Services in all regions
- Enter all potential Energy Services opportunities in SalesWays
- Assist with upkeep and maintenance Bios, References, case studies, job descriptions
- Coordinate marketing and sales campaign communications as required. Email blast, survey, and other
- Prepare both internal and external communications regarding important company updates
Qualifications:
- 5+ years experience in a similar role with strong experience in graphic design;
- Bachelor’s degree in marketing or communications, or other related qualifications;
- Ability to communicate effectively across all levels of the organization;
- Demonstrates a high degree of creativity, autonomy, flexibility, and attention to detail;
- Excellent verbal and written communication skills of the English language complimented with excellent grammatical, writing, and proofreading skills, along with strong attention to detail.
- French language is a great asset
- Industry experience in technical trades, an asset
- Advanced knowledge of Microsoft Office applications (Word, Excel, PowerPoint),
- Adobe Acrobat and Adobe InDesign, One Drive, Visio, and knowledge of digital collaboration applications
- Experience in a supporting role, ideally with experience in developing proposals and responding to RFP / RFQ specification documents.
- Able to work under pressure and adjust quickly to changing priorities
