Job description

JOB PURPOSE
This role is to support the Technical Services Manager in the development and the delivery of the reactive and PPM maintenance, statutory compliance, and utilities process. This includes working alongside The Arch Company main maintenance contractor in the delivery of planned preventative and corrective maintenance across all commercial and residential properties and to act as subject matter expert for maintenance and statutory compliance for all property related technical subjects.

KEY ACCOUNTABILITIES

  • Act as the subject matter expert for maintenance and statutory compliance for all property related technical subjects.
  • Work alongside the key maintenance contractors to ensure a compliant Estate which is managed via the Horizon FM system.
  • Work alongside the key maintenance contractors to monitor performance on reactive maintenance and providing an escalation channel for any urgent works required to be completed to support the local Estate Management teams.
  • Produce a monthly reactive maintenance and compliance report for discussion and review to the Technical Manager. This will be used to update The Arch Company Board and to work to ensure the service levels are suitable for the business requirements.
  • Produce monthly maintenance reports as required for use at monthly contractor meetings.
  • Produce ad-hoc reports as required.
  • Work alongside our aligned asbestos consultant, delivering on the business strategy of identification, management and removal of asbestos containing materials.
  • Work closely with The Arch Company Site Facilities Managers (SFMs) to assist them in closing any fire risk assessment or health and safety assessment actions identified within our estate.
  • Assist in building a closer working relationship with the Lettings Team. Assist in driving forward the completion of works, providing regular updates to assist and manage internal expectations.
  • Work with the Technical Manager to assume responsibility for the management of the outsourced energy bureau, and for the utilities across the Estate. This will include capturing of data and communication with the local estates team and energy bureau to keep our utilities information updated which may include changes in supply arrangements and meter readings.
  • Assist in building and maintaining a technical library of business policies for use by all The Arch Company personnel, including provision of technical training to the Services Team.
  • Assist with the review of life cycle (renewals) for the service charge Estate.
  • Monitor the resolution of all legal compliance issues and manage The Arch Company Technical Risk Register.
  • Draw-up and issue to The Arch Company teams both Technical Guidance Notes and Health and Safety Warning Notices as required
  • Attend appropriate training courses both internal and external

KNOWLEDGE, SKILLS, EXPERIENCE AND QUALIFICATIONS
Essential

  • A Facilities Management or Technical Facilities & Compliance Management background, ideally building services related with significant experience in the profession
  • Maintenance Contractor Management experience and the ability to manage and build strong working relationship with contractors
  • Able to effectively communication across a business at all levels
  • Ability to accurately organise, manage and evaluate large volumes of data
  • Fully familiar with Microsoft suite software including Word/Excel/Visio/Projects.
  • Good time management and organisational skills
  • Articulate, organised and must be able to communicate with and influence and motivate people at all levels
  • Must have a flexible approach with the ability to work as part of a team, but be able to work well under their own supervision
  • Must be commercially aware
  • Able to recognise and manage business requirements

Desirable

  • Experience of providing operational support in a contractual and service delivery environment
  • Experience of related H&S Management
  • Experience of implementation of Maintenance Management/CAFM Systems
  • Proven history in resolving complexed historical issues by communicating and using own initiative
  • Utilities, Facilities, Project, or Property Management qualifications
  • NEBOSH/IOSH qualification in Health and Safety
  • Professional Membership Institutional Body: IET/CIBSE/RICS/IWF
