Job description
This role will support the Hotel rating team based in our City office which comprises of a Senior Associate and a Partner. Additionally, there is a wider Hotel team based in our West End office.
The purpose of this role is to provide high level administrative and client support.
Main responsibilities
- Regular and ad-hoc financial / rating reporting (internal and client facing).
- Liaising directly with clients on administrative issues, including organising of inspections.
- Entering new instructions, clients and contacts onto the marketing database.
- Entering and maintaining accurate up-to-date rating information on the firm’s extensive rating database.
- Pursuing rates refunds and issue of Notices from the Valuation Office Agency and Billing Authorities.
- Preparation of Valuation, Proof of Evidence and other reports as required.
- Drafting of rates Checks and Challenges for hotel rating team.
- Drafting hotel valuation documents for hotel rating team.
- Research of comparables.
- Searching for and summarising new hotel competition to identify possible impact on our clients’ hotels.
- Sending client communications on behalf of the team, often under time pressures.
- Invoicing
- Ensuring Surveyors comply with the policies of the firm’s Quality Assurance certificate ISO 9001 : 2008.
- Drafting correspondence under the direction of the Partners or Associates concerned.
- Taking and dealing with incoming telephone calls.
- Dealing with incoming and outgoing email.
About you
- Excellent IT skills, especially Microsoft Excel and Word.
- Good numeracy skills and confidence working with data.
- Excellent written/communication skills and fast and accurate typing.
- Experience of working with databases.
- Accurate and with an eye for detail.
- Able to use initiative to resolve problems, taking a sensible ‘stand back and look’ approach.
- Well organised; capable of getting things done working to tight deadlines, using initiative and common sense.
- Flexible, self-motivated with a real desire to deliver excellent customer service often under time constraints.
- Good time-keeper and well-presented.
- Capable of working in a small team and without supervision. Experience in similar role in small/medium sized organisation essential.
- Experience of working in a professional/partnership environment would be desirable, but not essential.

Working Hours
Our full time working hours are 36.25 per week (7.25hrs per day). Gerald Eve operates a hybrid and core hours working policy. However, this position requires the individual to be office based minimum four days per week. This position may also involve out of hours working on an ‘as necessary’ basis. We also offer great flexibility around our core hours, which are from 10.00 a.m. to 4.00 p.m. You can choose to start and end your day around these hours, provided you still do your 7.25 hours per day (e.g. 8.00 am –4.30pm, 10.00 am – 6.30 pm). This position also involves out of hours working on an ‘as necessary’ basis.
